Core Responsibilities

Primary Functions

  • Plan, execute and document scheduled cycle counts and full physical inventory events across assigned locations, ensuring counts are performed in accordance with company policies and cycle-count calendars to achieve target inventory accuracy.
  • Perform systematic physical inspections of stockroom, shelves, and pallet locations to verify SKU quantities, storage conditions, packaging integrity, labeling, and pallet stability; report and tag damaged, expired, or mis-located inventory.
  • Reconcile inventory variances by investigating physical count differences against WMS/ERP records, transaction history, receiving and shipping logs, and POS records; identify root causes and propose corrective actions.
  • Operate handheld RF scanners, barcode readers, mobile computers, and inventory management software (WMS/ERP) to scan SKUs, capture counts, update locations, and validate lot/batch and serial number information.
  • Prepare clear, timely variance reports and inventory audit documentation for operations, finance, and management, including shrinkage analysis, trend charts, and recommended process changes to reduce recurring discrepancies.
  • Verify incoming receipts and outbound shipments for accuracy (SKU, quantity, lot/batch, expiration), reconcile packing lists with system records, and flag inbound/outbound mismatches to receiving or shipping teams.
  • Conduct targeted spot-checks and unannounced audits in high-risk zones, high-value SKUs, seasonal merchandise, and high-turn items to proactively detect errors and shrinkage.
  • Audit and enforce proper product identification and labeling standards (barcodes, lot numbers, expiration dates, location IDs), ensure adherence to FIFO/LIFO and other rotation policies, and update labels as needed.
  • Track and validate lot, batch, and serial number traceability for regulated, perishable, or serialized inventory; support recall or quarantine procedures when required.
  • Document and process inventory adjustments in the ERP/WMS according to internal controls and approval workflows, ensuring all adjustments are supported by count sheets, photos, and analytical notes.
  • Lead physical reconciliation during returns processing, vendor claims, and damaged goods handling; photograph and document condition and coordinate with vendors or claims teams for resolution.
  • Coordinate cross-functional investigations with warehouse managers, procurement, shipping, and finance to address recurring discrepancies, process gaps, training needs, or fraud indicators.
  • Establish and maintain cycle-count schedules, test plans, and SKU stratification (ABC classification) to prioritize counts based on value, turnover, and risk, and adjust cadence based on audit results.
  • Monitor and report on key inventory performance indicators (KPIs) such as inventory accuracy, shrinkage rate, count completion rate, and days of supply; present recommendations to improve KPIs.
  • Train and mentor warehouse staff and temporary counters on counting best practices, scanning procedures, labeling accuracy, and inventory control policies to raise organization-wide compliance.
  • Maintain secure handling and documentation for high-value, controlled, or regulated items (e.g., serialized electronics, pharmaceuticals) and ensure chain-of-custody and access controls are observed.
  • Contribute to process improvement initiatives (5S, Kaizen) to optimize storage layouts, bin utilization, stock location accuracy, and material handling methods to minimize mis-picks and improve count reliability.
  • Support cycle count and inventory migration activities during WMS/ERP implementation, data cleansing, SKU merges, and SKU conversions by validating master data and conducting reconciliation testing.
  • Execute root-cause analysis for chronic variances (picking errors, receiving miscounts, misplaced stock) and drive corrective action plans including SOP updates, training, and system rule changes.
  • Perform expiration date monitoring and perishables auditing, enforcing quarantine and disposal procedures for expired or compromised goods in coordination with quality control.
  • Ensure compliance with company safety policies and regulatory requirements during counting activities, including use of PPE, safe forklift/ladder practices, and secure handling of hazardous materials.
  • Create, maintain and archive accurate count sheets, scanned logs, photographic evidence, and audit trails in accordance with record retention and internal audit requirements.

Secondary Functions

  • Coordinate with procurement and demand planning teams to advise on reorder points, safety stock adjustments, and obsolete SKU disposition based on count findings and usage trends.
  • Support periodic inventory audits by external auditors, assisting with documentation requests, count coordination, and follow-up corrective actions.
  • Assist in the implementation, testing, and validation of WMS/ERP inventory modules, barcoding projects, and mobile scanning deployments to improve data capture accuracy.
  • Maintain and update inventory procedures, work instructions, and training materials; create visual aids and quick reference guides for warehouse staff.
  • Escalate and document suspected inventory fraud, theft, or security breaches and liaise with loss prevention or HR teams as required.
  • Help prioritize and schedule temporary counting teams during high-volume periods (seasonal peaks) and coordinate logistics for off-hours or weekend counts.
  • Participate in cross-functional continuous improvement projects to reduce cycle times, eliminate duplicate transactions, and streamline receiving/shipping handoffs.
  • Provide support for ad-hoc inventory queries and special projects, including SKU rationalization, product launches, and SKU master data audits.

Required Skills & Competencies

Hard Skills (Technical)

  • Expertise in cycle counting methodology, full physical inventories, spot audits, and inventory reconciliation best practices.
  • Proficient with Warehouse Management Systems (WMS) and ERP systems such as SAP (EWM), Oracle NetSuite, Manhattan, Infor, or similar.
  • Hands-on experience with RF/barcode scanners, mobile data terminals, Zebra devices, and barcode label printers.
  • Advanced Microsoft Excel skills (pivot tables, VLOOKUP/XLOOKUP, INDEX-MATCH, conditional formatting) for variance analysis and reporting.

  • Understanding of FIFO/LIFO and other inventory valuation/rotation methods, and how they impact physical handling and counts.
  • Knowledge of health, safety, and compliance requirements for handling hazardous or regulated inventory items.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED; demonstrated on-the-job experience in inventory counting or warehouse operations.

Preferred Education:

  • Associate's or Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Accounting, or related field.
