Core Responsibilities

Primary Functions

  • Lead and manage the day-to-day activities of the inventory control team, including scheduling, workload distribution, performance coaching, and conducting regular 1:1s to ensure accountability and professional development.
  • Design, execute and continuously improve cycle count programs (ABC/XYZ methodology) to meet established accuracy targets; analyze cycle count results and implement corrective actions to reduce variance and shrinkage.
  • Own end-to-end inventory reconciliation processes, investigating stock discrepancies by performing root cause analysis, coordinating physical recounts, and implementing permanent fixes to system or process issues.
  • Maintain accurate perpetual inventory records within the organization's ERP/WMS (e.g., SAP, Oracle, NetSuite) by validating receipts, transfers, returns, and adjustments on a daily basis.
  • Coordinate and lead physical inventory counts for monthly, quarterly or annual audits, including planning resources, defining count zones, resolving discrepancies, and liaising with internal/external auditors.
  • Implement and enforce inventory control policies and standard operating procedures (SOPs) across the team and multiple sites, ensuring compliance with company standards and regulatory requirements.
  • Serve as the primary liaison between inventory, procurement, operations, sales, and finance to resolve stock issues, expedite critical replenishments, and support month-end closing activities.
  • Monitor and report on key inventory KPIs — inventory accuracy, days of inventory (DOI), fill rate, carrying cost, stockouts, and shrink — producing actionable insights and weekly/monthly dashboards for leadership.
  • Coordinate inbound receiving and put-away processes to minimize mispicks and reduce time-to-on-shelf, working with warehouse leads to optimize flow and storage utilization.
  • Drive root cause corrective actions for recurring inventory issues by partnering with cross-functional teams to change process, training, or system configuration.
  • Oversee returns processing, warranty stock, and reserve inventory workflows to ensure correct disposition and accurate valuation in the general ledger.
  • Manage cycle count exceptions and adjustment approvals, ensuring segregation of duties and compliance with internal controls and SOX requirements where applicable.
  • Develop and deliver targeted training programs for inventory associates on WMS procedures, picking/put-away best practices, barcode scanning, and safety protocols to elevate team capability.
  • Implement inventory replenishment strategies and min/max settings in coordination with demand planners to reduce stockouts and minimize excess inventory.
  • Use data-driven analysis (including Excel, SQL, and WMS reports) to identify slow-moving and obsolete stock, coordinating disposition plans with merchandising or procurement teams.
  • Lead continuous improvement initiatives (Lean, 5S, Kaizen) focused on inventory accuracy, process simplification, and warehouse productivity improvements.
  • Manage relationships with third-party logistics (3PL) providers and vendors to ensure inventory visibility, accurate ASN processing, and timely resolution of discrepancies.
  • Maintain high standards of inventory security and loss prevention, partnering with loss prevention and safety teams to reduce shrink and theft risks.
  • Oversee SKU lifecycle activities such as new SKU set-up, unit of measure validations, pack/labeling correctness, and system master data governance.
  • Drive cross-functional projects related to WMS upgrades, ERP integrations, RFID/barcode deployments, and automation initiatives by providing subject matter expertise and coordinating testing/validation.
  • Prepare and present inventory status, variance explanations, and risk assessments for monthly business reviews and executive leadership meetings.
  • Ensure compliance with health, safety, and regulatory requirements in inventory handling and storage, including hazardous materials protocols where applicable.
  • Manage ad-hoc inventory investigations for high-value discrepancies or escalations, delivering resolution plans and preventing recurrence.
  • Support capacity planning for peak seasons and promotional events by aligning inventory strategy with operations and fulfillment teams.

Secondary Functions

  • Support ad-hoc reporting requests and build inventory dashboards to answer executive and stakeholder questions quickly and accurately.
  • Participate in multi-disciplinary cross-functional teams for supply chain optimization, new product introductions (NPI), and promotional planning.
  • Contribute to inventory system configuration, master data clean-up projects, and user acceptance testing for WMS/ERP updates.
  • Assist in procurement exception handling and expedited ordering decisions during demand spikes or supplier disruptions.
  • Mentor junior staff and provide subject matter expertise for career development and succession planning.
  • Coordinate with finance to reconcile inventory valuation differences and support month-end/year-end close activities.
  • Engage with vendor quality teams to resolve inbound discrepancies and improve supplier performance metrics.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced knowledge of inventory management principles: cycle counting, reconciliation, shrink reduction, ABC/XYZ analysis, min/max replenishment.
  • Hands-on experience with WMS and ERP systems (examples: SAP MM/WM, Oracle WMS, NetSuite, Manhattan, Blue Yonder) including transaction troubleshooting and configuration basics.
  • Strong Excel skills: pivot tables, VLOOKUP/XLOOKUP, INDEX/MATCH, scenario analysis, and advanced formulas for inventory analysis.
  • Data querying and reporting experience (SQL or BI tools such as Power BI, Tableau) to extract, analyze, and visualize inventory KPIs and trends.
  • Familiarity with barcode, RFID, scanning hardware, and mobile data collection workflows used in modern warehouse operations.
  • Understanding of SKU master data management and SKU lifecycle processes, including unit of measure, case/pick relationships, and product hierarchies.
  • Experience with cycle count program design and physical inventory planning, including audit support and controls (SOX compliance).
  • Basic financial acumen related to inventory valuation, COGS impact, write-offs, and gross margin drivers.
  • Knowledge of Lean/Kaizen methodologies, 5S, or Six Sigma tools applied to warehousing and inventory processes.
  • Strong problem solving and root cause analysis skills, including use of RCA templates and corrective action tracking.
  • Familiarity with logistics and distribution processes: inbound receiving, put-away, picking strategies, cross-docking, and returns processing.
  • Experience managing vendor relationships and improving supplier fill rate and ASN accuracy.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED required; equivalent combination of education and experience will be considered.

Preferred Education:

  • Bachelor’s degree in Supply Chain Management, Logistics, Operations Management, Business Administration, or a related field.

Experience Requirements

Typical Experience Range:

  • 5+ years of experience managing inventory teams and processes in a retail, e-commerce, manufacturing, or distribution environment.
  • Experience with SAP, Oracle, NetSuite, Manhattan, or other enterprise WMS/ERP platforms.
  • Certifications such as APICS CPIM/CSCP, CSCMP, Lean/Six Sigma, or OSHA safety certifications are a plus.
