Core Responsibilities
Primary Functions
- Coordinate daily trade capture, confirmation and settlement activities across equities, fixed income, derivatives, FX and alternative investments, ensuring trades are captured accurately in the OMS/PMS and reconciled with brokers and custodians.
- Prepare, validate and distribute daily and periodic NAV calculations, performance metrics and attribution reports, working with fund accounting and portfolio managers to resolve valuation or pricing exceptions prior to publication.
- Reconcile portfolio positions, cash, and corporate actions across internal systems, custodians, prime brokers and third-party administrators, investigate discrepancies and drive timely resolution.
- Manage the lifecycle of client and model portfolios, including onboarding, account setup, corporate action elections, subscription/redemption processing, and account maintenance in custody and transfer agency systems.
- Maintain thorough operational control documentation, process maps, and standard operating procedures (SOPs) for trade workflows, reconciliations, and month-end close activities to support audit readiness.
- Execute and oversee trade settlement interventions and fails management, liaising with counterparties to minimize counterparty exposure, fees and settlement risk.
- Coordinate collateral management and margin calls for derivatives and securities lending, ensuring timely posting and accurate reconciliation of collateral movements.
- Support portfolio managers with regulatory and client-mandate compliance checks, monitor investment constraints, hard/soft limits, and ensure trades adhere to policy and best execution practices.
- Prepare regular client-facing reporting packages, factsheets, performance decks, and regulatory disclosures, tailoring content to client requirements and coordinating with client service teams for distribution.
- Maintain and reconcile fee, commission and expense calculations; prepare fee schedules and invoice support for fund administration or client billing processes.
- Work with third-party administrators, custodians and fund accountants to ensure continuity of records, timely delivery of statements and resolution of service issues or breaks.
- Support the month-end and quarter-end close process for investment portfolios, including accruals, income allocation, and coordination of audit requests and journal entries.
- Conduct investment data quality checks, cleanse data, and reconcile across reference data sources (Tickers, ISINs, CUSIPs) to ensure accurate reporting and downstream analytics.
- Assist in trade compliance and surveillance initiatives by documenting exceptions, escalating potential breaches and participating in remediation plans with Compliance and Risk teams.
- Lead and participate in projects to improve operational efficiency — e.g., automation of reconciliations, straight-through processing (STP) initiatives, or implementation of new OMS/PMS modules.
- Provide hands-on support for system testing, user acceptance testing (UAT), and release management for investment operations systems and reporting platforms.
- Monitor and analyze portfolio cash flows, liquidity needs and anticipation of funding requirements to support trading and settlement activities.
- Prepare and present operational KPIs, SLA metrics, and exception reporting to senior management, helping prioritize remediation and resource allocation.
- Coordinate KYC/AML, investor onboarding and documentation collection together with Compliance and Client Onboarding teams to ensure investor suitability and regulatory compliance.
- Assist in ad-hoc investment research and basic financial analysis to support portfolio managers and investment analysts when required, including data pulls and Excel-based modeling support.
- Maintain strong relationships with internal stakeholders — PMs, analysts, client service, legal, tax and compliance — to ensure alignment on portfolio activity and client deliverables.
- Provide mentorship and on-the-job training to junior operations staff, supporting knowledge transfer and cross-training to maintain business continuity.
- Create and maintain investor reporting templates and automate frequent report builds (PowerPoint, Excel, PDF) to reduce manual effort and error risk.
- Track regulatory changes impacting fund operations and support implementation of required operational controls, reporting changes and client communications.

Required Skills & Competencies
Hard Skills (Technical)
- Advanced Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, INDEX/MATCH, Power Query) for reconciliation and reporting workflows.
