- Coordinate timing and logistics for transvaginal ultrasounds, laboratory blood draws (hormone monitoring), and semen collection appointments to align with individualized stimulation and retrieval timelines.
- Administer routine and complex medications used in ART (gonadotropins, GnRH agonists/antagonists, progesterone) and manage medication inventory, storage and waste per regulatory standards.
- Assist physicians during oocyte retrieval and embryo transfer procedures, maintaining aseptic technique, preparing procedural supplies, and acting as circulating nurse to optimize patient safety.
- Facilitate specimen labeling, chain-of-custody, transport and communication with embryology and andrology laboratory staff for fertilization monitoring, ICSI, embryo culture and cryopreservation.
- Provide compassionate, evidence-based counseling to patients and partners on treatment expectations, cycle outcomes, freezing/thawing procedures, embryo disposition options and potential risks/complications.
- Document all clinical encounters, medication administrations, informed consent, and procedure notes accurately and timely in the electronic medical record (EMR) and fertility clinic database systems.
- Monitor and respond to adverse events and medication reactions, escalate per protocol, and coordinate emergency care or transfer when indicated.
- Conduct post-procedure follow-up calls and pregnancy support, including medication adjustments, early pregnancy monitoring instructions, and liaison with obstetrics when pregnancy achieved.
- Participate in patient selection and screening tasks, including infectious disease testing review, medical history reconciliation, and preparation of patient charts for cycles.
- Educate patients on cryopreservation options (oocytes, embryos, sperm) and coordinate consent, storage arrangements, and thaw scheduling with laboratory and administrative teams.
- Implement and support quality assurance, infection control, and safety initiatives; participate in chart audits, competency assessments, and process improvement projects to enhance clinical outcomes.
- Collaborate with scheduling, billing, and insurance teams to verify authorizations, explain cost structures, and facilitate smooth patient access to treatment.
- Train and mentor new nursing staff and clinical assistants in IVF protocols, medication handling, EMR workflows and patient education best practices.
- Maintain up-to-date knowledge of ASRM/ESHRE guidelines, clinic policies, and evolving ART technologies to ensure compliant, cutting-edge patient care.
- Lead or participate in multidisciplinary case reviews and complex case planning for poor responders, recurrent implantation failure or fertility preservation patients.
- Support gamete/embryo transport logistics, including documentation, packing, and transport of biologics between clinics or to storage facilities, following cold chain and regulatory requirements.
- Ensure proper cryostorage documentation and monitor cryogenic systems (liquid nitrogen tanks) for inventory reconciliation and safety checks in collaboration with lab staff.
- Engage in patient outreach, support groups, and educational events to build clinic rapport and provide community-facing expertise on ART options.
Secondary Functions
- Contribute to clinical research and clinical trials by recruiting participants, collecting data, and ensuring protocol adherence under IRB oversight.
- Develop and maintain patient education materials, medication guides and digital resources optimized for readability and accessibility.
- Assist with clinic metrics and reporting: cycle volumes, success rates, patient satisfaction scores and nursing KPIs for leadership review.
- Support telehealth fertility consultations, triage virtual patient concerns, and document remote encounters per telemedicine policies.
