Core Responsibilities

Primary Functions

  • Actively assist the Site Superintendent with the day-to-day coordination and supervision of on-site activities, ensuring work proceeds according to the project schedule and milestones.
  • Serve as a frontline advocate for site safety by rigorously monitoring and enforcing all safety policies, conducting daily safety checks, and immediately reporting any hazards or incidents.
  • Manage the complex logistics of material and equipment deliveries, including scheduling, receiving, inspecting goods against purchase orders, and directing them to designated laydown areas.
  • Function as a primary point of contact for subcontractors and trade partners in the field, facilitating clear communication and resolving minor on-site queries to prevent delays.
  • Meticulously maintain a comprehensive daily construction log, documenting crucial details such as work progress, crew sizes, weather conditions, equipment usage, and any significant site events.
  • Perform regular, thorough site walks to inspect the quality of work being performed, ensuring it aligns with project plans, specifications, and established quality benchmarks.
  • Support the management and tracking of critical project documentation, including processing and distributing Requests for Information (RFIs), submittals, and field directives.
  • Control and manage access to the job site for all personnel, visitors, and inspectors, ensuring proper sign-in/out procedures and safety orientations are completed without fail.
  • Aid in the implementation of the site's quality assurance and quality control (QA/QC) plan by assisting with formal inspections and documenting any non-conforming work for remediation.
  • Systematically capture and organize progress photographs and videos of the job site, creating a detailed visual record for reporting to clients and project stakeholders.
  • Take a leading role in maintaining a clean, organized, and professional job site environment, which includes overseeing general labor tasks, site cleanup, and waste management protocols.
  • Ensure all field crews and subcontractors have the most current information by distributing updated construction drawings, specifications, and project-related communications.
  • Help coordinate and prepare for scheduled municipal and third-party inspections, ensuring the site is ready and all necessary documentation is available for the inspector's review.
  • Monitor and manage inventory levels of essential site supplies, tools, and personal protective equipment (PPE), placing timely reorders to avoid any work stoppages.
  • Actively support the project close-out phase by assisting in the creation and management of punch lists, coordinating final walk-throughs, and organizing handover documentation.

Secondary Functions

  • Provide robust administrative support to the on-site project management team, including filing, data entry, scanning documents, and handling site-related correspondence.
  • Assist in compiling and preparing a variety of essential reports, such as daily progress reports, safety incident analyses, and material tracking spreadsheets for management review.
  • Help track and verify the hours worked by on-site personnel and subcontractor crews, providing accurate data for payroll processing and project cost controls.
  • Participate in weekly on-site project and subcontractor meetings, responsible for taking detailed meeting minutes and distributing them to all attendees to ensure alignment.
  • Manage the setup and ongoing maintenance of the on-site project office or trailer, ensuring it is well-stocked, organized, and functions as an effective command center.
  • Support ad-hoc data requests and exploratory data analysis.
  • Contribute to the organization's data strategy and roadmap.
  • Collaborate with business units to translate data needs into engineering requirements.

Required Skills & Competencies

Hard Skills (Technical)

  • Blueprint & Specification Literacy: Strong ability to read, understand, and interpret construction blueprints, technical drawings, and project specifications.
  • Construction Safety Knowledge: Solid understanding of construction site safety requirements and OSHA regulations (OSHA 10 or 30 certification is highly desirable).
  • Construction Software Proficiency: Familiarity with industry-standard construction management software such as Procore, PlanGrid, or Bluebeam for document control and field reporting.
  • MS Office Suite Competence: Proficiency in Microsoft Word, Excel, and Outlook for creating reports, tracking data, and managing communications effectively.
  • Construction Fundamentals: A foundational knowledge of construction methods, sequencing, materials, and terminology across different building trades.

Typical Experience Range: 1-3 years of direct experience working in a construction environment.
