Core Responsibilities

Primary Functions

  • Directly assist the Supervisor with the planning, allocation, and delegation of daily tasks and long-term assignments to ensure a balanced workload and alignment with departmental priorities.
  • Actively monitor team performance, track progress against established Key Performance Indicators (KPIs), and compile data to report on productivity, milestones, and potential roadblocks.
  • Serve as the first and primary point of contact for team members' questions, procedural inquiries, and minor workplace issues, escalating more complex concerns to the Supervisor as necessary.
  • Take a lead role in preparing for and facilitating team meetings by developing agendas, preparing materials, documenting meeting minutes, and tracking action items to ensure follow-through.
  • Provide critical support during performance review cycles by gathering objective performance data, collecting peer feedback, and assisting in the preparation of evaluation documentation.
  • Manage and coordinate employee work schedules, process time-off requests, and oversee shift swaps to guarantee adequate operational coverage at all times.
  • Play a key part in the successful onboarding and initial training of new team members, guiding them through company policies, job duties, and team dynamics to ensure a smooth integration.
  • Meticulously maintain and update operational records, project tracking systems, and team databases to ensure all information is accurate, accessible, and current.
  • Prepare, format, and distribute regular and ad-hoc reports detailing team productivity, attendance records, project status updates, and other relevant metrics for management review.
  • Function as a reliable communication liaison between the team and the Supervisor, ensuring that directives, feedback, and important updates are conveyed clearly, accurately, and in a timely manner.
  • Actively assist in upholding and enforcing company policies, safety protocols, and quality standards within the team to maintain a compliant and secure work environment.
  • Oversee the quality of work produced by the team by performing regular spot-checks, reviewing deliverables, and providing constructive feedback to team members under the Supervisor's guidance.
  • Stand in for the Supervisor during planned short-term absences, confidently handling essential duties and making sound operational decisions to maintain continuity.
  • Proactively identify opportunities for process improvements within the team's workflow and collaborate with the Supervisor to develop, document, and implement more efficient procedures.

Secondary Functions

  • Coordinate logistical needs for the department, including managing the inventory of essential office supplies and operational equipment, and processing purchase orders.
  • Provide foundational support in conflict resolution by mediating minor interpersonal disagreements between team members, promoting a positive and collaborative atmosphere.
  • Assist in coordinating and executing special departmental projects or internal initiatives as directed by the supervisor, from the planning phase through to completion.
  • Support the Supervisor with administrative duties, such as managing their professional calendar, scheduling meetings, and screening incoming correspondence to prioritize their time.
  • Collate and verify data required for payroll processing, including accurately tracking employee work hours, breaks, and overtime to ensure correct compensation.
