Core Responsibilities

Primary Functions

  • Serve as the primary point of contact and dedicated representative between the agency and all levels of the judicial system, including local, state, and federal courts, judges' chambers, prosecutors' offices, and defense attorneys.
  • Cultivate and maintain strong, positive, and collaborative working relationships with key judicial stakeholders, including judges, court administrators, clerks of court, and legal staff to facilitate effective inter-agency operations.
  • Oversee the comprehensive management, processing, and meticulous tracking of all incoming legal documents, such as subpoenas, court orders, summonses, and warrants, ensuring timely and legally compliant responses.
  • Coordinate and schedule the appearance of agency personnel for court proceedings, including trials, hearings, depositions, and grand jury sessions, minimizing operational disruptions and ensuring witness availability.
  • Review legal requests for information, records, and evidence, determining the validity and scope of the request and ensuring all disclosures are in strict accordance with relevant laws, privacy statutes, and departmental policy.
  • Provide expert guidance and training to agency staff on court procedures, proper courtroom demeanor, effective testimony techniques, and the legal requirements associated with their duties.
  • Actively monitor court dockets and calendars to track the progress of cases involving the agency, providing timely updates to command staff and involved personnel regarding case status, continuances, and dispositions.
  • Attend critical court proceedings as an official representative of the agency to observe, report on developments, and provide immediate on-site support and coordination for testifying officers or employees.
  • Mediate and resolve procedural conflicts, communication breakdowns, or logistical challenges that arise between the agency and the courts, employing diplomacy and problem-solving to find mutually acceptable solutions.
  • Facilitate the secure and timely transport of physical evidence to and from court, maintaining an unbroken chain of custody and ensuring all evidentiary procedures are meticulously followed.
  • Prepare and disseminate detailed reports, summaries, and briefings for senior leadership on significant legal developments, judicial trends, and the impact of court rulings on agency operations and policies.
  • Advise command staff on the practical implications of new legislation, appellate court decisions, and changes in court rules, recommending necessary adjustments to agency policies and procedures.
  • Manage and maintain a comprehensive database or tracking system for all court-related activities, including appearances, subpoenas served, case outcomes, and overtime costs associated with court duties.
  • Act as a subject matter expert on judicial processes during internal meetings, policy reviews, and strategic planning sessions, ensuring legal and judicial considerations are fully integrated.
  • Develop and implement standardized protocols for responding to legal process, ensuring consistency, efficiency, and legal defensibility across all units within the organization.

Education & Experience

Educational Background

Minimum Education:

A background that includes a combination of law enforcement and legal/court experience is highly desirable. Experience providing testimony in court proceedings is a significant asset.
