Core Responsibilities

Primary Functions

  • Manage the end-to-end process of summoning prospective jurors, including generating, proofreading, and mailing summonses and questionnaires according to strict legal calendars.
  • Process and meticulously review returned juror qualification questionnaires for completeness, legibility, and statutory eligibility to serve.
  • Serve as the primary point of contact for the public regarding jury service, responding to a high volume of inquiries via phone, email, and in-person visits with professionalism and accuracy.
  • Evaluate and process requests for excusals, postponements, and disqualifications based on established court policies, statutory guidelines, and judicial orders.
  • Maintain and update the court's Jury Management System (JMS) with juror information, status changes, and service history, ensuring data integrity at all times.
  • Prepare and assemble juror orientation materials, handbooks, and informational packets to ensure jurors are well-informed of their duties and responsibilities.
  • Conduct juror orientation sessions, delivering clear and concise presentations on the jury service process, court procedures, and expectations for jurors.
  • Assist with the check-in and registration of jurors on their reporting date, verifying identity and providing necessary credentials and instructions for the day.
  • Coordinate the daily logistics of jury panels, including assigning jurors to specific courtrooms and managing their movement throughout the courthouse.
  • Prepare and maintain daily attendance records for jurors, accurately tracking service days for payment and official record-keeping purposes.
  • Calculate and process juror payments, stipends, and travel reimbursements in accordance with financial procedures and state statutes.
  • Generate, print, and distribute certificates of service to jurors upon the completion of their duty, serving as official documentation for their employers.
  • Liaise directly with judges, attorneys, and courtroom staff to coordinate the timely delivery of jury panels for the voir dire (jury selection) process.
  • Provide direct administrative support in the courtroom during jury selection, including tracking peremptory challenges and challenges for cause as directed.
  • Prepare and secure all necessary documentation and lists for impaneled juries, ensuring confidentiality and accuracy for the official court record.
  • Manage the jury deliberation rooms, ensuring they are properly stocked, secure, and ready for use by petit and grand juries.
  • Operate various office equipment, including multi-line phone systems, scanners, printers, and postage meters, to support daily jury office operations.
  • Perform extensive data entry and verification to build and maintain the master and qualified juror wheels from source lists such as voter registration and DMV records.
  • Respond to and resolve juror issues and complaints with empathy and tact, escalating complex situations to the Jury Manager when necessary.
  • Assist in the generation of statistical reports related to juror utilization, yield, and demographic composition for court administration analysis.
  • Maintain strict confidentiality of all juror information, court proceedings, and sensitive records in compliance with legal and ethical standards.
  • Uphold the security of the jury assembly room and other restricted areas, ensuring only authorized individuals are present.

  • Provide backup administrative support to other departments within the Clerk of Court's office as needed during peak times or staff absences.

Required Skills & Competencies
