Core Responsibilities
Primary Functions
- Assist in the comprehensive processing and mailing of jury summonses, ensuring accuracy and adherence to strict legal timelines and procedural guidelines.
- Serve as a primary point of contact for prospective jurors, professionally and courteously responding to a high volume of inquiries via phone, email, and in-person regarding summonses, deferrals, and exemptions.
- Perform accurate and timely data entry into the jury management system to update juror information, process responses, and maintain the integrity of the master jury wheel.
- Manage and process juror qualification questionnaires, meticulously reviewing them for completeness and statutory eligibility.
- Aid in the preparation and execution of juror orientation, including assembling informational packets, setting up the assembly room, and delivering clear instructions.
- Facilitate the juror check-in process on trial days, verifying identities, providing badges, and ensuring a smooth and welcoming experience for all citizens reporting for service.
- Handle sensitive requests for excusal, postponement, or disqualification from jury service with empathy and strict adherence to established court rules and statutes.
- Uphold the highest standards of confidentiality by securely managing all juror records, personal information, and sensitive communications.
- Prepare and process juror payment vouchers and attendance certificates, ensuring citizens are compensated accurately and promptly for their service.
- Generate and maintain detailed statistical reports on juror attendance, utilization, yield, and other key metrics for court administration.
- Assist in the random selection and assembly of jury panels for voir dire, coordinating with courtroom deputies and judicial staff.
- Prepare, scan, digitize, and archive all jury-related documentation in accordance with official records retention policies.
- Respond to general public inquiries regarding the policies and procedures of jury service, serving as a knowledgeable resource for the community.
- Troubleshoot and resolve discrepancies in juror records by conducting thorough research and collaborating with other court departments.
Secondary Functions
- Provide direct administrative support to the Jury Administrator and other court personnel as needed, including drafting correspondence and preparing reports.
- Escort jury panels to and from the courtroom, ensuring their security and sequestration from outside contact during trials and deliberations.
- Maintain and organize the inventory of supplies for the jury assembly room and office, placing orders as necessary.
- Assist in updating and improving juror orientation materials, website content, and recorded phone-line information to enhance clarity and accessibility.
- Support the Grand Jury process by preparing necessary documentation, tracking attendance, and providing administrative assistance during their term.
- Collate and analyze data from juror exit surveys to identify areas for improvement in the overall jury service experience.
- Collaborate with IT staff to report and resolve any issues with the jury management software or related hardware.
