Core Responsibilities
Primary Functions
- Manage the complete lifecycle of case files, from creation and data entry to ongoing maintenance, archival, and secure destruction in accordance with retention policies.
- Skillfully prepare, draft, and format a wide range of legal documents, including correspondence, court orders, motions, subpoenas, and briefs, ensuring strict adherence to court rules and formatting requirements.
- Act as a primary point of contact, professionally handling and directing communications from clients, witnesses, law enforcement, and opposing counsel via phone, email, and in-person inquiries.
- Meticulously maintain and update the departmental master calendar, scheduling court dates, hearings, client meetings, and critical deadlines for multiple officers.
- Conduct preliminary legal and factual research using online databases like Westlaw/LexisNexis and internal resources to gather supporting information for cases.
- Provide comprehensive administrative support for trial and hearing preparation, including organizing trial binders, managing exhibit lists, and coordinating witness availability.
- Process and manage all incoming and outgoing mail, faxes, and electronic correspondence, ensuring timely distribution and response.
- Liaise effectively with court clerks, government agencies, and other justice system partners to file documents, obtain records, and coordinate procedural matters.
- Accurately transcribe dictation, interviews, meeting minutes, and other legal proceedings with a high degree of precision.
- Handle highly sensitive and confidential information with the utmost discretion and integrity, maintaining strict confidentiality protocols at all times.
- Assist in the collection, organization, and preservation of evidence, maintaining a clear and accurate chain of custody records.
