Core Responsibilities

Primary Functions

  • Actively participate in the entire lifecycle of knowledge base articles, from initial drafting and research to editing, formatting, and publishing, ensuring they meet established quality and style standards.
  • Conduct comprehensive audits of existing knowledge base content, identifying outdated, inaccurate, or redundant information for archival or updates.
  • Collaborate closely with Subject Matter Experts (SMEs) across various departments to capture, validate, and document complex processes and information.
  • Analyze content usage data and user search queries to identify knowledge gaps, content improvement opportunities, and trends in information needs.
  • Assist in the development and maintenance of the organization's taxonomy and metadata framework to improve content categorization and findability.
  • Support the governance of the knowledge management system, including managing user permissions, content structures, and workflow configurations.
  • Create and update user-facing documentation, internal process guides, and standard operating procedures (SOPs) to ensure clarity and consistency.
  • Help design and implement intuitive information architecture within platforms like SharePoint or Confluence to enhance the user navigation experience.
  • Perform content gap analyses by comparing existing documentation against user feedback, support tickets, and business needs to prioritize new content creation.
  • Standardize documentation formats and templates across the organization to create a cohesive and professional look and feel for all knowledge assets.
  • Assist with content migration projects, carefully moving information between platforms while ensuring data integrity and proper formatting.
  • Respond to and resolve user inquiries regarding the knowledge base, providing support and guidance on how to find and utilize information effectively.
  • Develop and distribute regular reports on key knowledge base metrics, such as content health, user engagement, and search effectiveness, to stakeholders.
  • Research emerging knowledge management tools, best practices, and industry trends to provide recommendations for continuous improvement.
  • Act as a champion for knowledge-sharing, actively promoting the use of the knowledge base and encouraging a culture of documentation and collaboration.
  • Solicit, collect, and analyze user feedback through surveys, interviews, and direct interaction to drive user-centric improvements to the knowledge platform.
  • Help train and onboard new users to the knowledge management system, developing simple training materials and quick-reference guides.
  • Document internal team workflows and best practices to ensure the knowledge management team operates efficiently and consistently.
  • Partner with IT and support teams to troubleshoot technical issues related to the knowledge base, such as search problems or access errors.
  • Support the optimization of content for internal search engines, applying basic SEO principles to titles, keywords, and body text to improve discoverability.

Required Skills & Competencies

Hard Skills (Technical)

  • Collaboration Platforms: Hands-on experience or strong familiarity with enterprise collaboration tools like Microsoft SharePoint, Confluence, and Jira.
  • Content Management Systems (CMS): Understanding of the principles behind CMS platforms; experience with systems like Zendesk Guide, Guru, or WordPress is a plus.
  • Microsoft 365 Suite: Advanced proficiency in Microsoft Word for formatting, Excel for data analysis, and PowerPoint for creating training materials.
