Core Responsibilities

Primary Functions

  • Lead, mentor, and professionally develop a team of administrative assistants, conducting regular performance reviews and providing constructive feedback to foster growth and excellence.
  • Oversee and streamline the daily operations of the office, ensuring a professional, organized, and efficient work environment for all employees and visitors.
  • Manage and coordinate complex, ever-changing calendars for multiple senior executives, demonstrating the ability to resolve scheduling conflicts with diplomacy and precision.
  • Plan, coordinate, and execute high-level internal and external meetings, including board meetings, all-hands events, and client-facing functions, managing everything from logistics to materials preparation.
  • Act as a primary gatekeeper and point of contact, professionally liaising with internal staff at all levels as well as external clients, partners, and vendors.
  • Develop, implement, and continuously refine office policies and procedures to improve workflow and operational efficiency across the administrative function.
  • Manage the end-to-end process for complex domestic and international travel arrangements for the executive team, including flights, accommodations, ground transportation, and comprehensive itineraries.
  • Prepare, review, and reconcile complex expense reports and purchase card statements, ensuring strict compliance with company policy and timely submission.
  • Oversee the procurement of office supplies, furniture, equipment, and services, managing vendor relationships and negotiating contracts to ensure cost-effectiveness and quality.
  • Handle highly confidential and sensitive information relating to company strategy, personnel, and finances with the highest level of discretion and integrity.
  • Prepare, edit, and format critical correspondence, reports, presentations, and other documents for the executive team, ensuring absolute accuracy and brand consistency.
  • Partner seamlessly with IT, HR, and Facilities departments to coordinate office moves, new hire onboarding, and other cross-functional operational projects.
  • Manage departmental and office budgets, meticulously tracking expenditures and providing regular, clear reports to leadership on operational spending.
  • Serve as the subject matter expert on all administrative tools and software, providing essential training and support to the administrative team and other staff as needed.
  • Proactively identify operational bottlenecks and inefficiencies, proposing and implementing innovative solutions to enhance productivity and the overall employee experience.
  • Independently coordinate and manage special projects as assigned by the executive leadership team, demonstrating strong project management skills from conception to completion.
  • Triage and prioritize a high volume of competing requests, demonstrating a keen ability to manage multiple tasks and deadlines in a fast-paced, dynamic environment.
  • Champion a positive and collaborative office culture through the planning of team-building initiatives and by serving as a key cultural ambassador.
  • Oversee the maintenance of office facilities and equipment, coordinating with building management and service providers to resolve issues promptly and minimize disruption.
  • Develop and maintain a comprehensive and logical filing system and information database, both physical and digital, for rapid retrieval and reference.
