Core Responsibilities

Primary Functions

  • Provide comprehensive support to attorneys in drafting, formatting, and proofreading a wide range of legal documents, including pleadings, motions, subpoenas, and discovery requests.
  • Meticulously organize and maintain physical and electronic case files from inception to closing, ensuring all documents are properly indexed, logged, and readily accessible for case teams.
  • Manage the electronic filing of court documents through various state and federal e-filing systems (e.g., CM/ECF, Pacer), ensuring strict compliance with all procedural rules and deadlines.
  • Proactively manage and maintain complex litigation calendars, docketing critical deadlines, court dates, depositions, and appointments for multiple attorneys to prevent scheduling conflicts.
  • Serve as a professional and courteous point of contact for clients, opposing counsel, and court personnel, handling inquiries with discretion and providing case status updates as directed.
  • Conduct preliminary legal and factual research using online databases like Westlaw, LexisNexis, and other legal resources to gather information and support case development.
  • Assemble, organize, and update trial binders, exhibit lists, and other critical materials in preparation for hearings, depositions, and trials.
  • Assist in all phases of the discovery process, including the preparation of interrogatories, requests for production, and the organization of incoming document productions.
  • Utilize document management systems to scan, code, and Bates-stamp large volumes of documents for discovery, production, and case analysis.
  • Coordinate and schedule depositions, client meetings, mediations, and conference calls, managing all logistics and confirming attendance for all involved parties.
  • Receive, sort, and distribute incoming mail, faxes, and legal correspondence, identifying and prioritizing time-sensitive documents for immediate attorney review.
  • Perform detailed document review and redaction of confidential, privileged, or personally identifiable information in preparation for document production.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis.
  • Contribute to the organization's data strategy and roadmap.
  • Collaborate with business units to translate data needs into engineering requirements.
  • Participate in sprint planning and agile ceremonies within the data engineering team.
  • Draft routine correspondence, memos, and transmittal letters on behalf of attorneys for review and signature.
  • Assist with the preparation and processing of client billing and legal invoices, tracking expenses and ensuring accuracy in time entries.
  • Execute the firm's established procedures for opening new client matters and closing completed case files, including document archiving and record retention protocols.
  • Perform cite-checking and proofreading of legal briefs and memoranda to ensure accuracy and compliance with legal citation standards (e.g., Bluebook, California Style Manual).
  • Coordinate with process servers and couriers to ensure timely and proper service of legal documents and track proofs of service.
  • Maintain and update comprehensive contact lists for clients, courts, vendors, and opposing counsel.
  • Provide notary services for legal documents, affidavits, and other official paperwork as required and certified.
  • Manage high-volume copying, scanning, and printing projects, ensuring high-quality output for court filings, client distribution, and internal records.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with legal case management software (e.g., Clio, MyCase, ProLaw, FileVine).
  • Competency with federal and state e-filing systems (CM/ECF, Pacer).
  • Familiarity with legal research platforms such as Westlaw and LexisNexis.
  • Strong typing skills (minimum 60 WPM) with high accuracy.
  • Knowledge of legal terminology, court procedures, and legal document formatting.
  • Experience with PDF software (Adobe Acrobat Pro) for editing, redacting, and Bates stamping.
  • Understanding of document management systems and electronic discovery (e-Discovery) principles.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent (GED).

Preferred Education:

  • Associate’s Degree in Paralegal Studies or a related field.
  • Certificate of completion from an ABA-approved Paralegal program.
