Core Responsibilities

Primary Functions

  • Conduct comprehensive legal and factual research using online databases like Westlaw and LexisNexis, as well as public records, to gather and analyze information crucial for case strategy and document preparation.
  • Draft, review, and format a wide array of legal documents, including but not limited to pleadings, motions, briefs, affidavits, subpoenas, and discovery requests, ensuring accuracy and adherence to procedural rules.
  • Manage the full lifecycle of the discovery process, which includes propounding and responding to interrogatories, requests for production of documents, and requests for admissions under attorney supervision.
  • Organize and meticulously maintain complex case files, both in physical and digital formats, ensuring all documents are properly indexed, logged, and readily accessible throughout the case lifecycle.
  • Provide direct support for trial and hearing preparation by organizing exhibits, preparing witness files, managing trial binders, and coordinating logistics for court proceedings.
  • Independently manage and track all case-related deadlines, including court-mandated schedules, statutes of limitations, and discovery cutoffs, utilizing calendaring systems to ensure timely compliance.
  • Assist in the electronic discovery (e-discovery) process by overseeing the collection, processing, review, and production of electronically stored information (ESI) using specialized software platforms.
  • Prepare and execute the filing of legal documents with state, federal, and appellate courts, ensuring full compliance with specific local rules and electronic filing (e-filing) protocols.
  • Act as a professional and reliable liaison for communication with clients, opposing counsel, court personnel, and expert witnesses, handling inquiries and relaying information with precision.
  • Summarize and digest lengthy depositions, hearing transcripts, and other records to create concise, usable summaries and chronologies for attorney review.
  • Support corporate transactional work by assisting with due diligence, preparing closing documents, managing closing checklists, and handling post-closing integration and filings.
  • Assist with corporate governance and maintenance by drafting corporate resolutions, maintaining minute books, and preparing and filing annual reports and other state-required documents.
  • Manage contract administration by tracking key dates, obligations, and renewals within a contract lifecycle management (CLM) system to ensure compliance and mitigate risk.
  • Perform initial review and analysis of incoming documents, including contracts, legal notices, and third-party subpoenas, to identify key issues and route them to the appropriate attorney.
  • Help prepare witnesses for depositions and trial, including coordinating schedules and organizing relevant documents for their review.

Secondary Functions

  • Assist with the preparation of legal budgets and provide support in tracking departmental expenses, processing vendor invoices, and generating spending reports.
  • Monitor changes in relevant statutes, regulations, and court rules, and prepare summary memoranda for the legal team to ensure ongoing compliance.
  • Provide technical guidance and informal training to attorneys and support staff on legal software, research databases, and internal case management systems.
  • Coordinate the logistics for complex meetings, arbitrations, mediations, and depositions, including scheduling, room booking, and technology setup.

Required Skills & Competencies

Hard Skills (Technical)

  • Legal Research Proficiency: Demonstrated expertise in conducting complex searches on legal research platforms such as Westlaw, LexisNexis, and PACER.
  • Case Management Software: Hands-on experience with legal case management or practice management software (e.g., Clio, MyCase, ProLaw, iManage).
  • E-Discovery Tools: Familiarity with the principles of e-discovery and experience with review platforms like Relativity, Disco, or Logikcull.
  • Document Management: Advanced proficiency in managing digital and physical files, with a strong understanding of version control and document security protocols.

Education & Experience

Educational Background

Minimum Education:

An Associate's Degree in Paralegal Studies or a Paralegal Certificate from an ABA-approved program.

A Bachelor's Degree.
