Core Responsibilities

Primary Functions

  • Manage the complete lifecycle of licensing agreements, from drafting initial templates and processing signed contracts to tracking key dates and managing renewals.
  • Meticulously maintain and update the central contract management system or rights database, ensuring all information such as key terms, financial details, and contact information is accurate and current.
  • Serve as a primary administrative point of contact for both internal stakeholders and external licensees, handling routine inquiries regarding contract status, material submissions, and reporting procedures.
  • Coordinate the intake, review, and approval process for product samples, packaging, and marketing materials submitted by licensees, ensuring they adhere to brand guidelines and quality standards.
  • Diligently track the receipt and accuracy of royalty reports and payments from licensees, escalating any delinquencies or discrepancies to the Licensing Manager for resolution.
  • Prepare and distribute comprehensive reports on licensing activities, sales data, compliance status, and key performance indicators for review by senior management.
  • Facilitate the efficient routing of contracts and other legal documents for review and execution, coordinating seamlessly between legal counsel, business teams, and external partners.
  • Organize and maintain a systematic and secure filing system for all contracts, amendments, creative approvals, correspondence, and other critical documentation.
  • Assist in the thorough onboarding of new licensees, ensuring they receive all necessary brand assets, style guides, and procedural information to set them up for success.
  • Monitor all contractual obligations and critical deadlines—such as renewal notices, expiration dates, and reporting milestones—and proactively send reminders to all relevant parties.
  • Act as a liaison with the finance and accounting departments, providing them with essential contract information required for accurate royalty invoicing, payment processing, and revenue recognition.
  • Process and track all incoming invoices related to licensing activities, including legal fees, vendor payments, and other departmental expenses.
  • Respond promptly and professionally to a wide range of inquiries from licensees concerning contract interpretation, royalty reporting formats, and submission guidelines.
  • Generate and issue official documentation as required by agreements, such as Certificates of Insurance (COIs), letters of authorization, and other formal notices.

Secondary Functions

  • Support the licensing team in preparing for major industry trade shows and partner summits, which includes coordinating logistics, scheduling meetings, and preparing presentation materials.
  • Conduct preliminary market research on potential new licensing partners, product categories, and competitive landscapes to support strategic business development initiatives.
  • Assist in monitoring the marketplace, including online retail and social media, for potential trademark or copyright infringements and escalate findings to the brand protection team.
  • Collaborate with the marketing and creative teams to ensure licensees have seamless access to the most up-to-date brand assets, logos, and style guides.
  • Provide general administrative support to the licensing department, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Participate in special projects as assigned by the Licensing Manager, which may involve process improvement initiatives or historical data analysis.

  • Microsoft Office Suite Proficiency: Advanced skills, particularly in Excel (for royalty tracking and analysis), Word (for contract redlining and mail merge), and PowerPoint (for presentations).
  • Contract Management Software (CMS/CLM): Experience with or ability to quickly learn contract lifecycle management systems (e.g., DocuSign CLM, Ironclad) or rights management platforms.
  • Database Management: A strong aptitude for maintaining databases with exceptional accuracy and ensuring data integrity.
  • Basic Legal Acumen: A foundational understanding of contract terminology, intellectual property rights (trademarks, copyrights), and legal document structures.
