Core Responsibilities

Primary Functions

  • Meticulously prepare and file new and renewal applications for a wide variety of business, professional, and operational licenses across multiple state, county, and city jurisdictions.
  • Proactively manage and maintain a comprehensive licensing database or calendar to track application statuses, renewal dates, and expiration deadlines, ensuring 100% on-time renewals.
  • Serve as the primary point of contact for and cultivate strong relationships with various government agencies and regulatory bodies to clarify requirements and resolve issues efficiently.
  • Conduct thorough research to identify and understand the licensing and permit requirements for new business activities, market expansions, or changes in legislation.
  • Diligently compile, organize, and maintain all necessary supporting documentation, including corporate records, financial statements, and personnel information required for license applications.
  • Coordinate the payment of all licensing fees, government charges, and related expenses, working closely with the finance department to ensure timely and accurate processing.
  • Review and interpret complex legal statutes, regulations, and ordinances to ensure all business operations remain in full compliance with applicable laws.
  • Prepare and distribute regular, detailed status reports on the licensing portfolio for management and key stakeholders, highlighting upcoming deadlines and potential risks.
  • Assist in the development and implementation of internal policies and procedures to streamline the licensing process and enhance organizational compliance.
  • Manage and secure surety bonds, certificates of insurance, and other required financial instruments as mandated by licensing authorities.
  • Oversee the corporate registration process, including the preparation and filing of annual reports and other corporate filings with Secretaries of State.
  • Respond to inquiries from internal departments (e.g., Sales, Operations, Legal) regarding licensing status, capabilities, and jurisdictional limitations.
  • Onboard and offboard licensed professionals within the company's systems, ensuring their individual licenses are tracked and maintained in good standing.
  • Facilitate the notarization, apostille, and legalization of documents required for both domestic and international licensing and registration.
  • Maintain a highly organized physical and digital filing system for all licenses, applications, correspondence, and compliance-related documentation.
  • Escalate complex legal or compliance issues to senior management or the legal department with a clear summary and recommended course of action.
  • Conduct periodic internal audits of the license portfolio to verify accuracy, completeness, and adherence to company policies.

Secondary Functions

  • Support the legal and compliance teams during regulatory audits, investigations, or due diligence for corporate transactions.
  • Assist in training business stakeholders on licensing requirements and internal compliance procedures to foster a culture of awareness.

Experience Requirements
