Core Responsibilities
Primary Functions
- Review and analyze loan documentation for completeness, accuracy and adherence to internal policy and regulatory requirements throughout the loan process.
- Verify that executed closing and post‑closing documents are accurate, properly signed, dated and notarized where required.
- Confirm that all necessary collateral documentation, lien perfection records and supporting legal instruments are present and correctly executed.
- Compare loan terms, interest rates, payment schedules and approval conditions against prepared documents to identify inconsistencies.
- Maintain detailed and organized electronic and physical loan files, ensuring easy retrieval and audit readiness.
- Generate exception and discrepancy reports and communicate findings to loan officers, processors or legal teams for resolution.
- Collaborate with underwriting, closing, compliance and funding teams to resolve documentation issues before final loan booking.
- Conduct quality control reviews of incoming loan documents, tracking patterns of error or non‑compliance to support process improvements.
- Validate borrower information and supporting financial documentation to ensure accuracy and consistency with credit approval conditions.
- Participate in pre‑closing and post‑closing audit checks to confirm required documentation is obtained and filed.
- Track and update loan documentation status in loan origination and tracking systems.
- Communicate documentation requirements and outstanding items to internal stakeholders and external partners such as title companies or attorneys.
