Core Responsibilities
Primary Functions
- Prepare, assemble, and review complete loan closing packages for purchase, refinance, home equity, and portfolio loans to ensure accuracy and compliance with company policies and investor delivery requirements.
- Review and validate all borrower and collateral documents (e.g., promissory notes, security instruments, loan estimates, closing disclosures, title commitments, endorsements) for completeness, correct vesting, and proper legal descriptions.
- Generate, review, and reconcile Closing Disclosure (CD) and HUD-1 statements when applicable, ensuring TRID compliance, accurate fees, and timely delivery to borrowers and settlement agents.
- Coordinate and schedule loan closings with borrowers, loan officers, title companies, escrow agents, closing attorneys, and notaries, ensuring all closing instructions and borrower signature requirements are communicated.
- Execute and manage e‑signature and e‑closing platforms (e.g., DocuSign, OneSpan) to obtain remote or hybrid borrower signatures and maintain secure audit trails of electronic documents.
- Order and review title commitments, title insurance policies, tax certificates, payoff statements, and liens searches, and work with title/escrow to clear exceptions prior to funding.
- Verify identity and signature validity, and ensure all required notarizations and acknowledgments are present and conform to state laws and investor requirements.
- Prepare and review disbursement instructions, wire requests, and settlement statements to ensure accurate payoff, seller proceeds, and escrow funding at closing.
- Monitor and manage outstanding underwriting conditions and clear documentation exceptions by obtaining, reviewing, and adding the necessary documentation to the loan file.
- Maintain and update the loan origination system (LOS) and document imaging repository with accurate metadata, scanned documents, verifications, and closing packages to ensure audit readiness.
- Conduct pre-funding and pre-closing file reviews to identify missing or incorrect documents and to reduce post-closing defects and exceptions.
- Coordinate and prepare post-closing delivery packages to investors, ensuring compliance with investor buyback and repurchase guidelines, and validate investor-specific delivery requirements and timelines.
- Perform post-closing QC audits and exception resolution, including re-documentation, corrective endorsements, reconveyances, and repurchase negotiation support.
- Prepare and execute lien release, reconveyance, and satisfaction documents after payoff, ensuring timely recording and confirmation to the borrower or servicing organization.
- Calculate payoffs, prorations, reconveyance amounts and prepare payoff demand letters and borrower payoff statements, working with servicing departments and third-party payoff vendors.
- Support short-term loan modifications, forbearance documentation, and deed-in-lieu documentation preparation when requested by servicing or loss mitigation teams.
- Track and escalate loan closing deadlines, investor delivery windows, funding cutoffs, and regulatory timelines to ensure on-time closings and investor delivery.
- Maintain strong working relationships with external partners (title/escrow, closing attorneys, notaries, investor representatives) to resolve complex documentation issues and expedite closings.
- Analyze and interpret investor overlays, state regulations, FHA/VA requirements, and internal policies to advise loan teams and ensure compliant documentation decisions.
- Prepare detailed correspondence, exception reports, and deficiency logs for underwriting, secondary marketing, and senior management, and document remediation actions taken.
- Train and mentor junior documentation staff and loan processors on documentation standards, closing best practices, proper usage of LOS and e-signature platforms, and investor-specific requirements.
- Ensure confidentiality and secure handling of sensitive borrower information in accordance with privacy regulations and company information security policies.
- Maintain up-to-date knowledge of mortgage documentation trends, regulatory changes (TRID, RESPA, TILA, HMDA), and investor guideline updates; implement process improvements to reduce defects and accelerate closing timelines.
Secondary Functions
- Support ad-hoc reporting requests related to loan documentation status, defect rates, and investor delivery metrics using LOS and reporting tools.
