Core Responsibilities

Primary Functions

  • Serve as the primary point of contact for borrowers, providing clear communication, setting expectations, and delivering regular status updates throughout the loan lifecycle.
  • Meticulously review and analyze borrower financial documents, including pay stubs, W-2s, tax returns, and bank statements, to ensure completeness and accuracy.
  • Assist borrowers in completing the loan application (Form 1003), ensuring all data is entered correctly into the Loan Origination System (LOS).
  • Proactively manage the Loan Officer's pipeline, monitoring key dates and deadlines for contingencies, appraisals, and closing to ensure on-time performance.
  • Order, track, and review third-party reports and services, such as property appraisals, title commitments, flood certifications, and verifications of employment (VOE).
  • Structure loan files based on initial information and run preliminary findings through automated underwriting systems like DU (Desktop Underwriter) and LP (Loan Prospector).
  • Collaborate directly with Loan Processors and Underwriters to efficiently gather outstanding conditions, resolve file issues, and move loans toward a "clear-to-close" status.
  • Prepare and send initial loan disclosures to borrowers in strict compliance with TRID and other regulatory timelines.
  • Schedule and coordinate loan closings between the borrower, title company, and other relevant parties, confirming final figures and details.
  • Provide comprehensive administrative support to the Loan Officer, including managing calendars, scheduling client meetings, and preparing marketing materials.
  • Maintain and update the client relationship management (CRM) database to track leads, manage client communications, and support marketing campaigns.
  • Conduct pre-closing quality control reviews of loan files to catch potential errors and ensure all documentation is in place for a smooth funding process.

Secondary Functions

  • Assist the Loan Officer in pre-qualifying potential borrowers by gathering basic financial information and discussing initial loan options.
  • Help clear post-closing and funding conditions as required by the closing or secondary marketing departments.
  • Stay current on changes to mortgage industry regulations, lender guidelines, and available loan products (Conventional, FHA, VA, Jumbo, etc.).
  • Generate and analyze pipeline reports to assist the Loan Officer with business forecasting and workload management.
  • Cultivate strong relationships with real estate agents, builders, and other referral partners by providing reliable support and consistent communication.
  • Field inbound calls and inquiries, providing exceptional customer service and routing complex questions to the Loan Officer.
  • Assist with assembling and submitting a complete and organized loan file to the processing and underwriting departments.
  • Manage team social media accounts and other marketing initiatives under the direction of the Loan Officer.
  • Handle expense reporting and other minor administrative tasks to maximize the Loan Officer's productivity.
  • Participate in team meetings and training sessions to continuously improve skills and knowledge of the mortgage process.

Required Skills & Competencies

Hard Skills (Technical)

  • Loan Origination Software (LOS): Proficiency in mortgage software such as Encompass, Calyx Point, LendingQB, or similar platforms.
  • Mortgage Product Knowledge: Solid understanding of various loan types, including Conventional, FHA, VA, and USDA loans.
  • Regulatory Compliance: Working knowledge of key lending regulations, including TRID, RESPA, TILA, and Fair Lending laws.
  • Automated Underwriting Systems (AUS): Experience running and interpreting findings from DU (Desktop Underwriter) and LP (Loan Prospector).
  • Financial Document Analysis: Ability to read and interpret financial documents like tax returns, pay stubs, and bank statements to calculate income and assets.
  • CRM Software: Familiarity with using CRM systems for lead tracking and client management.
  • Microsoft Office Suite: Advanced proficiency in Outlook, Word, and Excel for communication, reporting, and data management.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent (GED).

Preferred Education:

  • Associate's or Bachelor's Degree.

Experience Requirements

Typical Experience Range:

  • 1-3 years of direct experience in the mortgage industry (e.g., as an LOA, Loan Processor, or similar role) is strongly desired. Experience in a related financial services or administrative capacity will also be considered.

Preferred:

  • 2+ years of experience as a Loan Officer Assistant for a top-producing originator. Active NMLS license is a significant plus or the willingness and ability to become licensed shortly after hiring.
