Core Responsibilities

Primary Functions

  • Manage the end-to-end coordination of domestic and international shipments across various modes of transport, including air, ocean, and ground.
  • Prepare, review, and process all necessary shipping and customs documentation, such as Bills of Lading (BOL), air waybills, commercial invoices, and shipper's export declarations.
  • Act as the primary liaison for clients, providing proactive and timely updates on shipment status, potential delays, and delivery confirmations.
  • Solicit, analyze, and negotiate freight rates and service contracts with a diverse network of carriers, freight forwarders, and 3PL providers to ensure competitive pricing and optimal service.
  • Utilize Transportation Management Systems (TMS) and other proprietary software to book shipments, track freight in transit, and manage order fulfillment.
  • Monitor and track shipments from origin to destination, proactively identifying and resolving any issues or exceptions that may arise during transit.
  • Ensure all logistics activities and documentation are in strict compliance with federal, state, and international trade laws and regulations (e.g., FMC, TSA, IATA, Customs).
  • Coordinate with warehouse personnel and dispatch teams to schedule inbound and outbound freight, ensuring proper loading/unloading procedures and dock appointments.
  • Investigate and resolve freight discrepancies, including damages, shortages, or billing errors, by initiating claims and coordinating with all relevant parties.
  • Optimize transportation routes and carrier selection to minimize costs, reduce transit times, and improve overall supply chain efficiency.
  • Maintain accurate and detailed records of all shipments, transactions, communications, and costs for reporting and auditing purposes.
  • Provide exceptional customer service by understanding client needs, addressing inquiries promptly, and offering effective logistics solutions.
  • Audit and approve freight invoices, verifying charges against negotiated rates and services rendered to ensure billing accuracy.
  • Build and maintain strong, collaborative relationships with carriers, vendors, and internal stakeholders to facilitate smooth logistics operations.
  • Generate and analyze key performance indicator (KPI) reports related to on-time performance, cost per shipment, and carrier effectiveness.

Secondary Functions

  • Assist in the development and implementation of new logistics processes and standard operating procedures (SOPs) to improve operational workflow.

Hard Skills (Technical)

  • Transportation Management Systems (TMS): Proficiency in using TMS platforms for booking, tracking, and managing freight.
  • Microsoft Office Suite: Advanced skills in Microsoft Excel (VLOOKUP, pivot tables, data analysis), Word, and Outlook.
  • ERP Systems: Familiarity with enterprise resource planning software such as SAP, Oracle, or NetSuite for order and inventory management.
  • Freight Quoting & Booking: Demonstrated ability to source and negotiate rates with carriers across different transport modes.
  • Regulatory Knowledge: Strong understanding of domestic and international shipping regulations, including Incoterms, customs procedures, and hazardous materials classifications.
