Core Responsibilities

Primary Functions

  • Coordinate and meticulously monitor the entire lifecycle of domestic and international shipments, from order placement and carrier booking to final delivery, ensuring on-time and accurate execution.
  • Manage and cultivate relationships with a network of carriers, freight forwarders, and third-party logistics (3PL) providers, including negotiating freight rates, ensuring service level agreements (SLAs) are met, and conducting regular performance reviews.
  • Prepare, verify, and process all required shipping and receiving documentation, including bills of lading (BOLs), packing lists, commercial invoices, certificates of origin, and customs paperwork.
  • Proactively track and trace inbound and outbound shipments to provide real-time visibility and status updates to internal stakeholders (e.g., Sales, Customer Service) and external customers.
  • Analyze and optimize transportation routes and modes (e.g., Less-Than-Truckload, Full Truckload, Air, Ocean) to find the ideal balance between cost, speed, and service reliability.
  • Investigate and resolve any shipping-related issues, discrepancies, damages, or losses by filing and managing claims with carriers and insurance providers through to resolution.
  • Maintain highly accurate and up-to-date records of all logistics activities, including shipment details, inventory movements, and transportation costs, within the company's ERP or Transportation Management System (TMS).
  • Ensure strict compliance with all applicable local, federal, and international shipping regulations, including customs laws, trade agreements (e.g., USMCA), and hazardous materials (Hazmat) protocols.
  • Act as a key liaison with warehouse and distribution center teams to coordinate order fulfillment schedules, manage stock levels, and ensure goods are staged and prepared for dispatch efficiently.
  • Analyze logistics data to identify key trends, operational inefficiencies, and opportunities for significant cost savings and process improvements in the supply chain.
  • Communicate effectively with sales, customer service, and procurement departments to align logistics activities with broader business objectives, inventory strategies, and customer commitments.
  • Audit, reconcile, and approve freight invoices for payment, carefully ensuring that all charges align with negotiated rates and contracted services to prevent overbilling.
  • Manage the reverse logistics process, including coordinating the return of goods from customers, inspecting returned items, and processing them back into inventory or for salvage/disposal.
  • Generate and distribute routine performance reports on key logistics metrics (KPIs) such as on-time delivery percentage, freight cost per unit, carrier performance, and transit times.
  • Assist in the development, documentation, and implementation of Standard Operating Procedures (SOPs) for logistics and warehouse operations to ensure consistency and quality.

Required Skills & Competencies

Hard Skills (Technical)

  • Transportation Management Systems (TMS): Deep proficiency in using TMS platforms to book, track, and manage shipments.
  • ERP Software Fluency: Strong working knowledge of enterprise resource planning systems like SAP, Oracle, NetSuite, or Microsoft Dynamics for order and inventory management.
  • Regulatory Knowledge: Expertise in domestic and international shipping regulations, including Incoterms, customs documentation, and trade compliance.
  • Microsoft Excel Mastery: Advanced skills in MS Excel, including VLOOKUPs, pivot tables, and data analysis functions for reporting and modeling.
