Core Responsibilities

Primary Functions

  • Direct and coordinate the complete scope of mailroom activities, including the receipt, sorting, processing, and distribution of all incoming mail, inter-office correspondence, and courier deliveries in a timely and accurate manner.
  • Oversee all outbound shipping operations, ensuring proper packaging, labeling, and selection of the most cost-effective and appropriate shipping methods through carriers like USPS, FedEx, UPS, and DHL.
  • Lead, mentor, and develop a team of mailroom personnel, which includes conducting hiring, comprehensive training on procedures and safety, creating work schedules, and managing performance evaluations.
  • Develop and manage the annual departmental budget, meticulously tracking postage, shipping, and supply expenditures to identify cost-saving opportunities and ensure fiscal responsibility.
  • Serve as the primary liaison with all postal and courier service vendors, negotiating contracts, resolving service issues, and staying current on rate changes and service offerings.
  • Implement and maintain stringent security protocols for handling sensitive, confidential, and high-value mail and packages, ensuring a secure chain of custody from receipt to delivery.
  • Manage and maintain all mailroom equipment, including postage meters, folding/inserting machines, and shipping software, scheduling regular maintenance and troubleshooting operational issues.
  • Develop, document, and enforce standard operating procedures (SOPs) for all mail services to ensure consistency, efficiency, and quality control across all tasks.
  • Utilize mail and shipping software (e.g., Pitney Bowes, Neopost, Stamps.com) to track packages, manage postage, and generate detailed reports on volume, spend, and departmental usage.
  • Conduct regular audits of mailroom processes and carrier invoices to identify and rectify discrepancies, optimize workflows, and capture potential cost recoveries.
  • Plan and execute large-scale bulk mailing projects for various departments, such as marketing, finance, or HR, ensuring compliance with postal regulations for presorting and discounts.
  • Maintain a clean, safe, and highly organized mail center environment, adhering to all company safety policies and OSHA guidelines.
  • Act as the subject matter expert on domestic and international shipping regulations, customs requirements, and hazardous materials shipping rules, providing guidance to employees.
  • Implement and manage internal package tracking systems to provide visibility and delivery confirmation for all items distributed within the organization.
  • Continuously evaluate and recommend new technologies, software, and process improvements to enhance the efficiency, accuracy, and service level of the mail center.
  • Provide exceptional customer service to all internal departments, addressing inquiries, resolving shipping issues, and offering expert advice on postal matters.
  • Prepare and present regular operational reports to senior management, highlighting key metrics such as mail volume, shipping costs, team productivity, and service level achievements.
  • Manage inventory levels for all shipping and mail-related supplies, including boxes, envelopes, labels, and postage, ensuring adequate stock is always on hand.
  • Coordinate with the facilities and security teams to manage loading dock access and scheduling for large deliveries and pickups.
  • Champion sustainability initiatives within the mailroom, such as recycling programs and promoting the use of eco-friendly shipping materials.
  • Stay abreast of industry trends, technological advancements, and changes in postal regulations to ensure the organization's mail operations remain current and compliant.

Secondary Functions

  • Coordinate with the marketing and communications departments to support complex distribution and fulfillment projects.
  • Assist the facilities department with logistical support for internal office moves, event setups, and furniture deliveries.
  • Manage the central inventory and ordering process for general office supplies, leveraging vendor relationships for cost-effective purchasing.
  • Serve as a key point of contact for managing inter-office courier runs and scheduled pickups/deliveries between multiple company locations.
