Core Responsibilities

Primary Functions

  • Operate high-speed mail sorting and processing machinery, performing minor adjustments and troubleshooting to ensure continuous operation and minimal downtime.
  • Accurately sort and distribute a high volume of incoming mail, packages, and inter-departmental correspondence to the correct individuals, mail stops, or departments according to established procedures.
  • Prepare and process outgoing mail by weighing items, calculating correct postage, and affixing postage using postage meters or online shipping software (e.g., Endicia, Stamps.com).
  • Manage and process certified, registered, and express mail and parcels, ensuring all required documentation is completed accurately and tracking information is logged.
  • Utilize shipping software such as UPS WorldShip, FedEx Ship Manager, and DHL platforms to prepare domestic and international shipments, including generating shipping labels and commercial invoices.
  • Receive, inspect, and log all incoming packages and deliveries from carriers like UPS, FedEx, DHL, and local couriers, verifying contents against packing slips and noting any damages or discrepancies.
  • Maintain meticulous and up-to-date logs for incoming and outgoing mail and packages, ensuring a clear chain of custody and facilitating easy tracking and retrieval of information.
  • Efficiently handle bulk mailings and large-scale distribution projects, including folding, inserting, labeling, and metering large quantities of promotional or informational materials.
  • Conduct regular quality control checks on processed mail to ensure accuracy in sorting, postage application, and addressing before dispatch.
  • Scan incoming documents and mail into a digital records management system, ensuring clear image quality and correct indexing for electronic distribution and archival.
  • Research and resolve issues related to undeliverable mail, incorrect addresses, or missing packages by coordinating with employees and external carriers.
  • Maintain a deep understanding of USPS regulations, as well as the services and requirements of major private carriers, to ensure compliance and cost-effectiveness.
  • Handle confidential and sensitive documents with the utmost discretion and security, following strict protocols for processing and delivery.
  • Coordinate with courier services for special pickups and deliveries, ensuring items are ready and properly documented at the scheduled time.
  • Perform data entry tasks related to mail services, such as updating employee mailing lists, tracking shipping costs, and generating reports on mail volume.

Secondary Functions

  • Monitor and maintain a clean, safe, and organized mailroom environment, ensuring all workstations and equipment areas are free of hazards.
  • Manage and replenish the inventory of mailroom supplies, including envelopes, boxes, postage, and shipping materials, placing orders as necessary to prevent shortages.
  • Provide friendly and professional customer service at the mailroom service window, assisting employees with their mailing and shipping questions and needs.
  • Assist the Facilities department with small office moves or furniture relocations, particularly in the setup of new mail stops or delivery points.

  • Postage Meter Operation: Proficiency in operating digital postage meters (e.g., Pitney Bowes, Neopost/Quadient) for applying correct postage to various mail classes.
  • Shipping Software Proficiency: Experience using carrier-specific software like UPS WorldShip and FedEx Ship Manager for creating labels and tracking shipments.
  • Data Entry & Computer Literacy: Strong and accurate typing skills with proficiency in Microsoft Office Suite (Outlook, Word, Excel) for logging, tracking, and communication.
