Core Responsibilities

Primary Functions

  • Operate high-speed mail sorting, inserting, and processing machinery (e.g., Pitney Bowes, Bell and Howell, Neopost) to handle large volumes of mail efficiently.
  • Perform rigorous quality control checks on all processed mail to ensure accuracy, proper postage, correct addressing, and compliance with company and postal standards.
  • Prepare and process all outgoing mail, including flats, letters, and parcels, by applying correct postage, sealing, and bundling according to USPS, FedEx, and UPS specifications.
  • Receive, sort, and distribute a high volume of incoming mail, interoffice correspondence, and packages to designated departments, mailstops, and personnel in a timely manner.
  • Meticulously scan and log all incoming accountable mail, such as certified letters and express packages, using internal tracking software to maintain a clear chain of custody.
  • Maintain a clean, safe, and highly organized mailroom environment to maximize operational efficiency and adhere to safety guidelines.
  • Handle sensitive, proprietary, and confidential documents with the utmost discretion and strict adherence to established information security protocols.
  • Troubleshoot minor equipment malfunctions and perform routine preventative maintenance on mail sorting machines and postage meters to minimize downtime.
  • Manage and maintain an adequate inventory of all mailroom supplies, including envelopes, boxes, labels, and postage, and coordinate reordering as necessary.
  • Consistently lift, move, and transport mail bins, trays, and packages, weighing up to 50 pounds, throughout the facility on a regular basis.
  • Generate and maintain detailed operational logs and reports on daily mail volume, postage expenditures, shipment tracking, and team productivity.
  • Serve as a primary point of contact for internal employees, providing excellent customer service for inquiries related to mail services, package tracking, and shipping options.
  • Coordinate with external vendors and couriers for daily pickups, special handling requests, and resolving any shipping or delivery issues.
  • Utilize computer systems and software for data entry, looking up employee/department locations, and updating package statuses in the tracking system.
  • Prepare bulk mailings by CASS-certifying address lists, presorting mail according to USPS regulations, and completing all required postal documentation for cost savings.
  • Inspect all incoming shipments and packages for visible damage upon arrival and report any discrepancies or issues to the Mailroom Supervisor immediately.
  • Process and manage all undeliverable or "return to sender" mail, researching correct addresses and facilitating re-routing when possible.
  • Operate pallet jacks, hand trucks, and other material handling equipment to safely move large or bulk shipments of mail and supplies.
  • Cross-train on various mailroom functions and responsibilities to provide effective backup coverage and support to team members during absences or peak periods.
  • Assist departments with special projects, including large-scale marketing mail-outs, internal document distributions, and assembling customized packages.
  • Adhere to all federal, state, and local regulations governing mail handling, as well as all internal company policies and procedures.

Required Skills & Competencies

Hard Skills (Technical)

  • Mail Processing Equipment: Proficiency in operating high-speed mail sorters, inserters, and postage meters (e.g., Pitney Bowes, Neopost).
  • USPS Regulations: Strong working knowledge of domestic and international postal regulations, rates, and classes of mail.
  • Computer Proficiency: Solid computer skills, including data entry, email communication, and familiarity with Microsoft Office Suite (Word, Excel, Outlook).
  • Package Tracking Software: Experience using barcode scanners and package tracking systems (e.g., Pitney Bowes SendSuite, internal proprietary software).
  • Material Handling: Ability to safely operate material handling equipment such as pallet jacks and hand trucks.
  • Basic Machine Maintenance: Capability to perform routine maintenance and troubleshoot minor issues with mailroom machinery.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED equivalent is required.

Preferred Education:

  • Vocational training or certification in logistics or office administration is a plus.

Experience Requirements

Typical Experience Range:

  • 1-3 years of experience in a mailroom, warehouse, logistics, or similar production-driven environment.

Preferred:

  • Direct experience operating automated mail sorting and processing equipment in a corporate or high-volume mail center is highly preferred.
  • Prior experience handling confidential documents and working within a secure environment is a significant advantage.
