Core Responsibilities

Primary Functions

  • Receive, sort, and process a high volume of incoming mail and packages daily, including letters, publications, and parcels from USPS, FedEx, UPS, DHL, and other courier services.
  • Accurately scan and log all accountable mail and packages (e.g., certified, registered, overnight, insured) into a digital tracking system to maintain a verifiable chain of custody.
  • Conduct timely and organized distribution of all mail and packages to the correct departments, floors, and individual employee mailboxes throughout the facility.
  • Manage and process all outgoing mail and shipments, including selecting the most cost-effective and appropriate shipping methods based on delivery requirements.
  • Operate and maintain standard mailroom equipment, such as postage meters, folding/inserting machines, mail scanners, and label printers, troubleshooting minor issues as they arise.
  • Prepare and package items for shipment, ensuring they are properly secured, labeled, and compliant with carrier regulations to prevent damage or delays.
  • Coordinate and schedule pickups with various courier services for outgoing shipments, ensuring all deadlines are met for daily dispatches.
  • Maintain an accurate and organized inventory of all mailroom and shipping supplies, such as boxes, envelopes, tape, and postage, and process orders for replenishment as needed.
  • Handle sensitive and confidential documents with the utmost discretion and adherence to company security protocols.
  • Act as the primary point of contact for all mail and shipping-related inquiries, providing excellent customer service to employees and resolving delivery issues promptly.
  • Utilize shipping software (e.g., FedEx Ship Manager, UPS WorldShip) to create shipping labels, generate tracking numbers, and prepare international shipping documentation.
  • Assist with large-scale mailing projects, including bulk mailings for marketing or communications, by coordinating printing, folding, inserting, and metering.
  • Perform regular mail runs at scheduled times throughout the day, ensuring consistent service across the entire office or campus.
  • Maintain a clean, safe, and organized mailroom and loading dock area, adhering to all safety procedures and regulations.
  • Re-route misdirected mail and process returned-to-sender items according to established procedures.
  • Generate and review daily or weekly reports on shipping volumes, costs, and tracking to assist with departmental budgeting and efficiency analysis.
  • Assist departments with properly addressing outgoing correspondence and understanding various mailing options and their associated costs.
  • Screen incoming packages for potential security risks according to company policy and report any suspicious items to the appropriate security personnel.
  • Manage inter-office mail distribution, ensuring confidential and timely delivery of internal documents between departments.
  • Keep up-to-date with changes in postal rates, courier services, and shipping regulations to ensure compliance and cost-effectiveness.

Secondary Functions

  • Provide backup coverage for front desk or reception duties, such as answering phones and greeting visitors, as needed.
  • Assist the Facilities team with small office moves, furniture setup, and other logistical support tasks.
  • Help maintain shared office resources, such as stocking copy paper in printers or ensuring conference rooms are tidy.

Required Skills & Competencies

Hard Skills (Technical)

  • Postage Meter Operation: Proficiency in operating and maintaining digital postage meters for processing outgoing mail.
  • Shipping Software Proficiency: Experience with carrier platforms like UPS WorldShip and FedEx Ship Manager for domestic and international shipping.
  • Package Scanning & Tracking Systems: Ability to use handheld scanners and software to log and track incoming and outgoing packages.
  • Inventory Management: Skill in tracking and reordering mailroom and shipping supplies to prevent shortages.
