Core Responsibilities

Primary Functions

  • Administer and serve as the subject matter expert for the Computerized Maintenance Management System (CMMS), ensuring data integrity, system performance, and user proficiency.
  • Analyze maintenance work order history in-depth to identify recurring equipment failures, high-cost assets, and underlying trends in labor and material consumption.
  • Develop, maintain, and distribute a suite of detailed performance reports and dashboards for leadership, tracking KPIs such as PM/PdM compliance, schedule compliance, backlog, MTBF, and MTTR.
  • Collaborate closely with maintenance planners and supervisors to continuously optimize the Preventive Maintenance (PM) program using historical data, failure analysis, and reliability-centered maintenance (RCM) principles.
  • Conduct deep-dive analysis on the maintenance work backlog to identify aging work orders, resource constraints, and opportunities for improved work prioritization and execution.
  • Support the development of the annual maintenance budget by providing detailed historical cost data and forecasting future spending based on asset lifecycle and condition analysis.
  • Perform critical spare parts inventory analysis to optimize stock levels, define min/max quantities, identify obsolete parts, and reduce carrying costs without compromising operational readiness.
  • Establish and maintain the master asset hierarchy and equipment data within the CMMS, ensuring all new and existing assets are accurately tracked and managed throughout their lifecycle.
  • Assist Reliability Engineers in conducting formal Root Cause Analysis (RCA) for significant equipment failures by providing comprehensive supporting data and trend reports.
  • Develop standard operating procedures (SOPs), user guides, and training materials for CMMS usage to ensure consistent and high-quality data entry across the entire maintenance team.
  • Build and execute custom queries (often using SQL) to extract and transform maintenance data for ad-hoc analytical requests from various business stakeholders.
  • Evaluate the effectiveness of completed maintenance strategies and job plans by comparing planned versus actual costs, labor, and downtime, providing feedback for continuous improvement.
  • Lead and execute data quality initiatives, including data cleansing projects to correct inconsistencies, duplicates, and incomplete records within the CMMS.
  • Act as a liaison between the Maintenance department and IT to troubleshoot CMMS issues, test system upgrades, and recommend new functionalities to enhance operational capabilities.
  • Translate complex maintenance data and statistical findings into clear, concise, and actionable insights, presenting them effectively to both technical and non-technical audiences.
  • Support capital project planning and justification by providing robust data on asset condition, total cost of ownership, repair history, and end-of-life projections.
  • Analyze contractor performance, spending, and adherence to service level agreements to identify potential cost-saving opportunities and performance gaps.
  • Champion a culture of data-driven decision-making within the maintenance and reliability organization by demonstrating the value of accurate data and analysis.
  • Perform statistical analysis on failure data to help build foundational models that inform the transition from purely preventive to more advanced predictive maintenance (PdM) strategies.
  • Conduct regular audits of work order information, including closure codes and failure classifications, to ensure data consistency for accurate future reporting and analysis.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis from operations and engineering teams.
  • Contribute to the organization's long-term asset management strategy and technology roadmap.
  • Collaborate with business units to translate operational data needs into technical and engineering requirements.
  • Participate in sprint planning, daily stand-ups, and other agile ceremonies within the maintenance and reliability team.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced proficiency with a major Computerized Maintenance Management System (CMMS) such as SAP PM, IBM Maximo, Infor EAM, or Oracle eAM.
  • Expert-level Microsoft Excel skills, including PivotTables, Power Query, complex formulas, and data modeling.
  • Strong experience with data visualization and business intelligence tools like Microsoft Power BI, Tableau, or Qlik Sense.
  • Demonstrated ability to write and execute SQL queries for data extraction, transformation, and analysis from relational databases.
  • Solid understanding of core maintenance principles, including Preventive, Predictive, and Corrective Maintenance strategies.
