Core Responsibilities
Primary Functions
- Receive, unload, inspect, and verify all incoming shipments of maintenance parts and supplies against purchase orders and packing slips for accuracy and potential damage.
- Accurately record the receipt of all items into the Computerized Maintenance Management System (CMMS) or Enterprise Resource Planning (ERP) system.
- Label, tag, and systematically stock all incoming parts and materials in their designated bin locations within the maintenance storeroom.
- Issue parts, tools, and necessary supplies to maintenance technicians upon request, ensuring all transactions are meticulously documented and tracked against specific work orders.
- Process parts requisitions from the maintenance team and initiate purchase orders (POs) for stock replenishment and non-stock items.
- Diligently monitor inventory levels to maintain optimal quantities, utilizing min/max levels, reorder points, and system reports to prevent stockouts and costly overstock situations.
- Conduct regular and systematic cycle counts, as well as participate in and/or lead annual full physical inventory audits to ensure data integrity and resolve any discrepancies.
- Research and identify correct parts for repairs using equipment manuals, parts catalogs, online resources, and direct communication with vendors or original equipment manufacturers (OEMs).
- Maintain a clean, safe, and highly organized parts storeroom (crib) environment, often adhering to 5S principles or similar lean methodologies.
- Source parts and obtain quotes from multiple suppliers to ensure competitive pricing, quality standards, and favorable delivery terms are met.
- Expedite and track critical back-orders and emergency parts orders to support urgent maintenance needs and minimize critical equipment downtime.
- Manage the process for returning incorrect, damaged, or warranty-claim parts to suppliers, ensuring all required documentation is completed and credits are processed.
- Prepare and stage pre-assembled kits of parts and materials required for upcoming planned maintenance tasks and preventive maintenance (PM) work orders.
- Maintain accurate and up-to-date records, including purchase orders, receiving documents, issue slips, and vendor information.
- Build and maintain positive working relationships with maintenance staff, supervisors, and external vendors to facilitate smooth and efficient operations.
- Administer the repairable parts program, including tracking items sent out for repair, managing costs, and ensuring their timely return to stock.
- Secure and control inventory to prevent loss or unauthorized use, managing access to the storeroom as required by company policy.
- Cross-reference part numbers and identify suitable alternatives or substitutions for obsolete or hard-to-find components.
- Negotiate pricing and lead times with vendors for non-contractual purchases to achieve cost savings for the maintenance department.
- Coordinate with the shipping and receiving department for the proper handling and logistics of both incoming and outgoing parts.
