Primary Functions

  • Draft, proofread, and format a wide range of professional documents, including confidential correspondence, detailed reports, engaging presentations, and internal communications, maintaining a high standard of quality and brand consistency.
  • Process and submit expense reports in a timely and accurate manner, ensuring full compliance with company policies and reconciling corporate credit card statements for the executive.
  • Establish and maintain a systematic filing and data management system for both physical and digital records, ensuring confidential information is handled with the utmost discretion and is easily retrievable.
  • Serve as a key liaison and communication bridge between the manager, internal departments, and external partners, fostering positive relationships and ensuring clear, consistent messaging.
  • Provide robust administrative and logistical support for various special projects, which includes conducting research, tracking project timelines, and coordinating with team members to meet critical deadlines.
  • Assist in the planning and flawless execution of internal and external events, such as team off-sites, client dinners, and company-wide functions, managing all logistics from venue booking to on-site coordination.
  • Manage highly sensitive and confidential information related to personnel, finances, and business strategy with absolute discretion, integrity, and a deep understanding of security protocols.
  • Proactively anticipate the needs of the executive and their team, demonstrating initiative to solve problems and address potential issues before they arise.
  • Facilitate the onboarding process for new team members by coordinating schedules, preparing necessary materials and system access, and providing introductory administrative support.
