Core Responsibilities

Primary Functions

Clinical Duties

  • Greet and escort patients to examination rooms, preparing them for the provider by obtaining and documenting vital signs, including blood pressure, temperature, pulse, respiration, height, and weight.
  • Record comprehensive patient medical histories, chief complaints, and current medication lists with a high degree of accuracy in the Electronic Health Record (EHR) system.
  • Administer medications, including oral, subcutaneous, and intramuscular injections and immunizations, as directed by a licensed provider and in accordance with state regulations.
  • Perform phlebotomy and collect other laboratory specimens such as urine or swabs, ensuring proper labeling, handling, and preparation for on-site testing or transport to an external lab.
  • Execute basic in-office laboratory tests, such as rapid strep, urinalysis, and glucose monitoring, and accurately document the results for provider review.
  • Assist physicians and other providers during medical examinations, minor surgical procedures, and other treatments by preparing sterile fields, passing instruments, and providing patient support.
  • Perform electrocardiograms (EKGs), spirometry, and other diagnostic procedures as ordered by the provider, ensuring patient comfort and quality of the test.
  • Manage wound care by removing sutures or staples and applying sterile dressings as instructed by the clinical provider.
  • Prepare and stock examination and treatment rooms with necessary instruments, supplies, and equipment, ensuring a clean, organized, and safe environment.
  • Authorize and process prescription refills as directed by the provider and handle communications with pharmacies regarding patient medications.
  • Provide clear and concise patient education on topics such as medication instructions, dietary restrictions, and pre- and post-procedure care.

Administrative Duties

  • Manage a high volume of incoming patient calls, addressing questions, scheduling appointments, and routing clinical inquiries to the appropriate personnel.
  • Handle front-desk operations, including patient check-in/check-out, verifying insurance eligibility, and collecting co-payments and outstanding balances.
  • Maintain and manage patient appointments, schedules, and provider calendars to optimize clinic workflow and minimize patient wait times.
  • Navigate the Electronic Health Record (EHR) system to scan, index, and manage patient documents, lab results, and consultation reports.
  • Process and coordinate referrals to specialists, including preparing necessary documentation and ensuring the receiving office has all required information.
  • Obtain prior authorizations from insurance companies for medications, procedures, and diagnostic imaging to ensure coverage for the patient.
  • Manage incoming and outgoing correspondence, including faxes, mail, and secure electronic messages through the patient portal.
  • Follow up with patients on test results and communicate provider instructions, ensuring the patient understands the next steps in their care plan.
  • Ensure all patient encounters, orders, and procedures are accurately coded with appropriate ICD-10 and CPT codes to support the billing cycle.

Required Skills & Competencies

Hard Skills (Technical)

  • EMR/EHR Proficiency: Expertise in navigating and documenting within electronic health record systems (e.g., Epic, Cerner, eClinicalWorks).
  • Phlebotomy: Skilled in venipuncture techniques for collecting blood samples from a diverse patient population.
  • Vital Signs Measurement: Competency in accurately obtaining and recording blood pressure, heart rate, temperature, and respiratory rate.
  • Medication Administration: Knowledge of injection techniques (IM, Sub-Q) and safe medication handling protocols.

Educational Background

Minimum Education:

  • Active certification as a Certified Medical Assistant (CMA) from the AAMA, Registered Medical Assistant (RMA) from the AMT, or other recognized certification (e.g., NCMA, CCMA).

Experience Requirements
