Core Responsibilities
Primary Functions
- Manage the end-to-end planning, logistics, and execution for a diverse portfolio of medical and promotional events, including national congresses, advisory boards, investigator meetings, symposia, and speaker bureau programs.
- Develop and manage comprehensive project timelines, work-back schedules, and detailed checklists for all event-related activities to ensure key milestones are met.
- Oversee and meticulously manage event budgets, including forecasting, tracking expenses, processing invoices, reconciling costs, and ensuring adherence to financial targets.
- Lead the venue sourcing and selection process, including conducting site inspections, negotiating contracts, and managing relationships with hotels and conference centers.
- Coordinate all aspects of attendee management for healthcare professionals (HCPs), including invitations, registration, travel arrangements, accommodation, and on-site support.
- Act as the primary liaison for all external vendors, including audio-visual companies, production agencies, travel agencies, and destination management companies (DMCs), ensuring high-quality service delivery.
- Collaborate closely with internal stakeholders, including Medical Affairs, Marketing, Sales, and Legal/Compliance teams, to align event strategy with business objectives.
- Ensure all events are executed in strict compliance with all relevant industry regulations, including the PhRMA Code on Interactions with Healthcare Professionals, the Sunshine Act, and other global transparency reporting requirements.
- Develop and manage communication plans for event attendees, providing timely and accurate information regarding logistics, agendas, and other key details.
- Plan and coordinate all on-site logistics, including room setups, catering, audio-visual requirements, staffing schedules, and registration management to ensure a flawless attendee experience.
- Manage the logistical requirements for faculty and key opinion leaders (KOLs), including contracting, travel coordination, honoraria payments, and personalized on-site handling.
- Coordinate the development, review, and production of all event-related materials, such as invitations, agendas, presentations, signage, and meeting handouts, ensuring brand consistency.
- Utilize event management software and platforms (e.g., Cvent) for registration, attendee tracking, budget management, and reporting.
- Conduct post-event evaluations and debrief meetings with stakeholders to gather feedback, measure success against objectives, and identify areas for future improvement.
- Prepare and analyze post-event reports, including budget reconciliation, attendance metrics, and key performance indicators (KPIs) to demonstrate event ROI.
- Negotiate favorable terms and pricing with hotels, transportation providers, and other third-party vendors to maximize value and control costs.
- Oversee the entire contracting process for venues and vendors, working with legal teams to ensure all agreements are compliant and mitigate risk.
- Manage the logistics for company booths and presence at major medical congresses, including exhibit space contracting, booth design and setup, staffing, and lead generation activities.
- Provide high-touch, white-glove service for all HCPs and internal VIPs, anticipating needs and resolving issues promptly and professionally.
- Develop contingency plans for potential event-related challenges, such as travel disruptions, technology failures, or unexpected changes in speaker availability.
- Stay current with trends in event technology, meeting design, and healthcare compliance to continuously innovate and enhance the quality of medical events.
