Core Responsibilities
Primary Functions
- Expertly manage a multi-line phone system, screening, prioritizing, and directing a high volume of calls with professionalism and efficiency.
- Coordinate and manage complex physician and clinical staff schedules, including patient appointments, surgical procedures, follow-up visits, and meetings.

- Prepare, manage, and maintain both electronic (EHR/EMR) and paper-based medical records, ensuring all documentation is complete and correctly filed.
- Accurately transcribe medical dictation from physicians, including patient histories, physical examination notes, operative reports, and consultation letters.
- Facilitate patient referrals to other specialists by gathering necessary medical records, completing referral forms, and tracking the status of each referral.
- Coordinate and obtain insurance pre-authorizations and pre-certifications for medical procedures, advanced imaging, and hospital admissions.
- Prepare and distribute patient correspondence, including appointment reminders, test result notifications, and informational packets.
- Manage all incoming and outgoing mail, faxes, and electronic communications, sorting and distributing them to the appropriate personnel in a timely manner.
