Core Responsibilities

Primary Functions

  • Manage the end-to-end planning and execution of a diverse portfolio of internal and external events, including conferences, trade shows, webinars, client appreciation dinners, and team-building activities.
  • Develop and meticulously manage detailed event budgets, ensuring adherence to financial objectives through precise tracking, expense reconciliation, and comprehensive post-event financial reporting to stakeholders.
  • Source, negotiate, and manage contracts with a wide array of vendors, including venues, caterers, audio-visual providers, transportation companies, and promotional material suppliers, to secure a high level of service and value.
  • Serve as the primary point of contact for all event stakeholders, including executive leadership, clients, sponsors, speakers, and internal teams, maintaining clear and consistent communication throughout the entire event lifecycle.
  • Conduct comprehensive site inspections and in-depth venue research to identify locations that align perfectly with event objectives, brand standards, and budgetary constraints.
  • Design and implement creative event concepts, themes, and engagement strategies that enhance the attendee experience and effectively communicate key brand messages.
  • Provide decisive on-site event leadership and support, proactively managing event flow, troubleshooting logistical issues as they arise, and directing staff and volunteers to ensure a seamless and positive attendee experience.
  • Develop and execute comprehensive event marketing and communication plans in collaboration with the marketing team to drive registration, attendance, and overall event awareness.
  • Utilize industry-leading event management software (e.g., Cvent, Bizzabo) for registration management, attendee tracking, email communication, and mobile app deployment.
  • Analyze post-event data and attendee feedback to generate detailed reports on key performance indicators (KPIs), return on investment (ROI), and lessons learned to inform and improve future event strategies.
  • Manage all logistical components of events, including registration builds, rooming lists, group travel arrangements, food and beverage menu selection, and complex audio-visual requirements.
  • Coordinate the design, production, and distribution of all event-related collateral, including digital and print invitations, agendas, session materials, signage, name badges, and promotional items.
  • Manage all speaker and VIP logistics, including contracting, travel coordination, accommodation arrangements, scheduling, and on-site handling to ensure a first-class experience.
  • Ensure all events are executed in full compliance with legal, safety, and health regulations, including securing necessary permits, insurance coverage, and accessibility standards.
  • Develop and maintain detailed project plans, critical path timelines, and run-of-show documents for each event to ensure all milestones are met on schedule and all teams are aligned.
  • Plan and flawlessly execute virtual and hybrid events, managing digital platforms, technical production partners, and online attendee engagement strategies to create an inclusive experience for all participants.
  • Prepare and confidently present comprehensive event proposals, status updates, and post-event debriefs to senior leadership and key stakeholders.
  • Negotiate group hotel blocks and manage complex rooming lists, ensuring accuracy and timely communication with both the hotel property and event attendees.
  • Stay abreast of emerging trends, innovative technologies, and best practices within the meeting and events industry to continuously elevate our event offerings.
  • Cultivate and maintain strong, collaborative relationships with preferred vendors, industry partners, and internal departments to leverage for future events and streamline processes.

Secondary Functions

  • Support the creation and maintenance of a centralized event calendar and resource database for the organization.
  • Assist marketing and sales teams with event-related content creation, such as pre-event teasers and post-event highlight reels.
  • Contribute to the development of standardized event planning processes, templates, and best-practice guides.
  • Participate in cross-departmental meetings to ensure event activities are fully integrated with broader company initiatives and campaigns.

Required Skills & Competencies

Hard Skills (Technical)

  • Event Management Software: Proficiency in platforms like Cvent, Bizzabo, or similar event registration and management tools.

Education & Experience

Educational Background

Minimum Education:
