Core Responsibilities
Primary Functions

- Execute post-closing quality control and file audits, identify exceptions and missing documents, manage remediation activity, and track corrective action plans until the file is fully compliant and closed out.
- Board loans into the servicing system or third-party servicer according to investor guidelines; confirm escrow set-up, tax/insurance reinstatements, and investor reporting fields are correctly populated.
- Manage eSignature and document custody workflows (DocuSign, DocMagic, eRecording, MERS) and ensure secure storage, retrieval, chain of custody, and compliance with eNote/eVault requirements.
- Review title commitments and closing protection letters, coordinate with title/settlement agents to resolve title exceptions or policy issues, verify endorsements, and ensure title insurance is procured and recorded.
- Validate mortgage insurance (MI) requirements and certificates, order MI reinstatements or cancellations, and ensure MI documentation meets investor and insurer standards.
- Reconcile post-closing fees, lender credits, escrow disbursements, and third-party invoices; prepare variance reports and resolve funding-to-closing monetary discrepancies.
- Maintain and update pipeline reports to monitor loan status from clear-to-close through funding and delivery, escalate potential bottlenecks, and forecast funding volumes to stakeholders.
- Interpret and apply investor overlays, GSE requirements, FHA/VA regulatory guidance, and state-specific compliance requirements to ensure each file meets purchase and delivery standards.
- Manage repurchase and remediation requests, prepare repurchase packages, analyze root causes, and collaborate with underwriting and legal to limit repurchase exposure and mitigate risk.
- Respond to internal and external audits, support regulatory examinations, prepare required documentation and summaries, and implement process changes to address audit findings.
- Coordinate document corrections (affidavits, corrected 4506-T, final 1003 updates, title endorsements) and execute re-executions or post-closing corrections with borrowers, title, and closers while preserving a clear audit trail.
- Liaise with loan officers, processors, underwriters, and closing teams to clarify missing documents, resolve outstanding conditions, and ensure a seamless borrower closing experience.
- Perform loan boarding validations and post-funding checks to confirm investor delivery acceptance, correct data mapping, and timely reporting to investors and accounting.
- Maintain daily and weekly KPIs related to funding turn times, investor delivery timeliness, post-closing QC pass rates, and repurchase metrics; prepare status reports for operations leadership.
- Implement and maintain best practices for document indexing, naming conventions, and electronic file assembly to streamline investor delivery and reduce remediations.
