Core Responsibilities

Primary Functions

  • Manage daily payment processing and posting for mortgage accounts, including manual and automated payments, to ensure accurate application to principal, interest, escrow, and ancillary fees while reconciling payment exceptions.
  • Perform comprehensive escrow account administration including escrow analyses, tax and insurance disbursements, shortage and surplus calculations, notifications to borrowers, and annual escrow disclosures in compliance with RESPA and investor guidelines.
  • Evaluate and process borrower inquiries and escalations via phone, email, and written correspondence with clear, professional communication while maintaining documentation in servicing systems and call logs.
  • Administer default servicing activities for delinquent loans, including dialer/collections outreach, payment arrangements, reinstatements, trial payment plans, and referral to loss mitigation when applicable following investor-specific timelines and regulations.
  • Handle borrower hardship and loss mitigation requests, assess eligibility for repayment plans, forbearance, loan modification programs and trial modifications, prepare accurate case files, and coordinate required documentation and trial period monitoring.
  • Execute foreclosure and bankruptcy tracking responsibilities—prepare notices, maintain timelines, coordinate with legal/foreclosure counsel, and update system statuses in accordance with state law and investor requirements.
  • Process loan payoff requests, prepare accurate payoff statements, coordinate with title companies and attorneys, calculate interest, escrow balances and fees, and ensure timely delivery and receipt of payoff funds and reconveyance documentation.
  • Maintain investor and insurer reporting obligations, including timely remittances, reporting of default events, cash reconciliation, and preparation of investor deliverables per servicing agreements.
  • Conduct mortgage loan boarding and transfers between systems or vendors, validate loan data quality, resolve data discrepancies, and complete system setup to ensure seamless servicing continuity.
  • Prepare and maintain accurate loan-level documentation (electronic imaging and paper), ensure compliance with document retention policies, audit readiness, and support post-closing quality reviews and corrections.
  • Process and monitor property-related items—tax notices, insurance cancellations, hazard insurance tracking, force-placed insurance coordination, and payoffs for property charges to protect lien position.
  • Coordinate and execute rescission, right-to-cure, and borrower notices in accordance with TILA, RESPA, HUD, and state law requirements to mitigate regulatory risk and protect consumer rights.
  • Conduct routine reconciliations of trust accounts, escrow ledgers, and investor remittance files to identify variances, research root causes and implement corrective actions in partnership with accounting teams.
  • Administer short sales and deeds-in-lieu processes in conjunction with loss mitigation, real estate-owned (REO) teams and legal counsel, ensuring documentation integrity and timely execution.
  • Monitor and maintain bankruptcy claims, stay current with court deadlines, provide required notices, coordinate with trustees and counsel, and track plan payments or cure arrangements.
  • Investigate and resolve complex loan servicing discrepancies and borrower complaints, escalate to appropriate stakeholders, and implement process improvements to reduce repeat issues and regulatory exposure.
  • Execute borrower-payoff reversals, refunds, and chargebacks, ensure accurate posting and adjustment of fees, and communicate outcomes to borrowers and third parties.
  • Support regulatory audits and internal/external compliance reviews by preparing requested loan files, audit trails, remediation plans, and implementing corrective action items.
  • Train and mentor junior servicing staff, prepare knowledgebase articles and process documentation, and assist management with workload planning and performance metrics.
  • Maintain up-to-date knowledge of investor guidelines (Fannie Mae, Freddie Mac, Ginnie Mae), government program changes (FHA, VA), and regulatory updates (CFPB, RESPA, TILA) and implement policy updates across servicing operations.
  • Prepare and submit periodic reports and KPIs to management, including delinquency metrics, loss mitigation outcomes, foreclosure pipeline status, investor remittance accuracy and borrower satisfaction indicators.
  • Coordinate with third-party vendors (default attorneys, escrow providers, title companies, vendors) to ensure SLA compliance, correct file transfer and resolution of third-party escalations.

Secondary Functions

  • Participate in cross-functional projects to improve servicing workflow, system migrations, vendor transitions, and implementation of new servicing technologies such as LoanServ, MSP, CSS, or other servicing platforms.
  • Support ad-hoc audit and special request research, producing reconciliations and narrative reports for compliance, legal, or investor inquiries.
  • Assist in the creation and continuous improvement of standard operating procedures, job aids, and training materials to improve team productivity and accuracy.
  • Collaborate with IT and data teams to identify system enhancements, data quality fixes, and reporting improvements, and help user-test updates to servicing systems.
  • Provide subject-matter expertise for product and policy changes, offering impact analysis and mitigation plans for borrower-facing processes.
  • Help coordinate remediation efforts for regulatory findings and support development and execution of corrective action plans.

Required Skills & Competencies

Hard Skills (Technical)

  • Experienced in mortgage loan servicing platforms and systems (examples include LoanServ, MSP, CSS, MortgageServ, or equivalent servicing systems) and imaging/document management tools.
  • Proficient with investor servicing guidelines and delivery requirements for Fannie Mae, Freddie Mac, Ginnie Mae, FHA, VA, and private investors.
  • Strong knowledge of federal and state mortgage servicing regulations including RESPA/RESPA-REX, TILA/Reg Z, FDCPA, CFPB rules, and state foreclosure/bankruptcy statutes.
  • Escrow account administration, year-end escrow analysis, tax/insurance disbursement and reconciliation experience.
  • Loss mitigation and default servicing proficiency: loan modifications, forbearance, repayment plans, short sale/REO processes, and foreclosure mitigation strategies.
  • Payment processing and reconciliation skills, including ACH, lockbox, cashier’s checks, and investor remittance file preparation.
  • Experience preparing payoffs, reinstatements, refunds, chargebacks and handling title/closing coordination.
  • Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, conditional formulas) and experience with data reconciliation and reporting.
  • Familiarity with investor remittance processes, suspense account management, and cash application best practices.
  • Document management and post-closing quality control experience, including eNote/eMortgage knowledge where applicable.
  • Ability to use CRM and ticketing tools to track borrower interactions and case management workflows.
  • Experience participating in audits and regulatory examinations, producing documentation, and executing remediation activities.

Educational Background

Experience Requirements
