Core Responsibilities

Primary Functions

  • Assist in the planning, coordination, and execution of community programs and outreach events, ensuring seamless logistical support from start to finish.
  • Conduct comprehensive prospect research to identify potential individual donors, corporate sponsors, and foundation grant opportunities to support fundraising goals.
  • Draft, edit, and schedule engaging content for our social media channels, monthly newsletters, and website blog to increase audience engagement and brand awareness.
  • Provide crucial administrative support to the team, including managing schedules, organizing digital files, and performing accurate data entry into our CRM system.
  • Support the development team in planning and executing fundraising events, from vendor communication and volunteer coordination to post-event follow-up.
  • Maintain and meticulously update the organization's donor and stakeholder database (e.g., Salesforce, Little Green Light) to ensure data integrity and accurate reporting.
  • Collaborate with program managers to develop, design, and distribute essential program materials, participant surveys, and informational packets.
  • Attend internal team meetings and external stakeholder meetings, responsible for taking detailed notes and circulating action items to relevant team members.
  • Assist in the grant lifecycle by supporting the writing and editing of grant proposals, tracking application deadlines, and compiling data for grant reports.
  • Act as a key point of contact for community inquiries, responding to emails and phone calls with professionalism and providing information about our services.
  • Support volunteer management efforts, including assisting with recruitment outreach, screening applications, and coordinating orientation and training sessions.
  • Monitor traditional and social media for mentions of the organization and relevant sector news, compiling press clippings and social media analytics reports.

Secondary Functions

  • Collaborate with the communications team to interview program participants and staff to create compelling stories of impact for use in marketing materials.
  • Perform in-depth research on policy issues, community needs, and sector-best practices to inform program strategy and advocacy efforts.
  • Assist in the creation and design of marketing and communications collateral, such as brochures, annual reports, and event flyers, using tools like Canva.
  • Provide direct, on-the-ground support at workshops, community fairs, and fundraising events, representing the organization to the public.
  • Help manage the inventory of office and program supplies, tracking stock levels and coordinating purchase orders as needed.
  • Support the finance department with basic tasks such as processing check requests, tracking event expenses, and assisting with budget reconciliation.
  • Contribute fresh perspectives and innovative ideas during brainstorming sessions for new programs, campaigns, and organizational strategies.
  • Curate, organize, and catalog the organization's digital assets, including photos, videos, and testimonials, for easy access and use.

Required Skills & Competencies

Hard Skills (Technical)

  • Microsoft Office / Google Workspace: High proficiency in MS Office Suite (Word, Excel, PowerPoint) and/or Google Workspace (Docs, Sheets, Slides).
  • Social Media Platforms: Strong familiarity with major social media platforms (Facebook, Instagram, Twitter, LinkedIn) and content creation.
  • Database Management: Basic understanding of databases; prior experience with a CRM like Salesforce, EveryAction, or Little Green Light is a significant plus.
  • Research Skills: Ability to conduct thorough online research using search engines, databases, and other resources.
  • Design Tools: Basic experience with graphic design tools like Canva or Adobe Spark is highly desirable.
  • Communication Tools: Familiarity with email marketing platforms (e.g., Mailchimp) and team collaboration tools (e.g., Slack, Asana).

Education & Experience

Educational Background

Minimum Education:

Relevant Fields of Study:

  • Nonprofit Management, Public Administration, Social Work, Communications
  • Political Science, International Studies, Sociology, Marketing, or a related field.

Experience Requirements

Typical Experience Range: 0-2 years

Preferred:

  • Previous internship or significant volunteer experience within a nonprofit, community-based, or public service organization.
  • Demonstrated leadership experience in extracurricular activities, student groups, or community service projects.
