Core Responsibilities

Primary Functions

  • Design, implement, and continuously improve a comprehensive volunteer program that aligns with the nonprofit’s strategic priorities and annual goals, including clear role descriptions, onboarding pathways, and retention strategies.
  • Lead full-cycle volunteer recruitment through targeted outreach, social media campaigns, partnerships with local colleges and corporations, volunteer fairs, and community networks to attract diverse, mission-aligned candidates.
  • Manage the volunteer intake process: screen applicants, conduct interviews, administer background checks and reference checks, and ensure compliance with organizational and regulatory requirements.
  • Develop and deliver structured orientation and role-specific training sessions (in-person and virtual), including developing training materials, competency checklists, and evaluation tools to ensure volunteer readiness and safety.
  • Create and maintain a centralized volunteer management system (e.g., Volgistics, Better Impact, Salesforce Nonprofit Cloud) to track volunteer profiles, hours, assignments, certifications, and impact metrics.
  • Build daily/weekly/monthly volunteer schedules and deployment plans that optimize program coverage while considering volunteer availability, skills, and program needs; manage shift changes and last-minute replacements.
  • Supervise and support on-site volunteer activities, providing clear direction, coaching, performance feedback, and conflict resolution to maintain a positive volunteer experience and service quality.
  • Coordinate volunteer placements across programs (service delivery, events, administrative support, outreach) to ensure alignment of volunteer skills with organizational needs and outcomes.
  • Establish and monitor service quality standards and volunteer performance expectations; implement corrective action plans or role transitions when necessary.
  • Create and produce volunteer communications, including welcome packages, newsletters, shift reminders, engagement surveys, and impact stories that increase retention and community visibility.

  • Facilitate effective onboarding of corporate, group, and youth volunteers, tailoring experiences to group size, skills, liability considerations, and learning objectives.
  • Develop and maintain community and institutional partnerships (schools, faith groups, corporations, civic groups) to create sustainable volunteer pipelines and mutually beneficial collaborations.
  • Lead seasonal and large-scale volunteer events (fundraisers, drives, outreach campaigns), coordinating logistics, volunteer captains, supplies, site maps, and post-event evaluation.
  • Maintain up-to-date volunteer handbooks, role descriptions, and documentation to ensure consistency and institutional knowledge retention.
  • Provide coaching and leadership development opportunities for volunteer leaders, captains, and ambassadors to extend volunteer supervision capacity and leadership succession.
  • Troubleshoot volunteer-related issues—attendance, performance, interpersonal conflict—and escalate to program leadership when policy or risk considerations require.

Secondary Functions

Education & Experience

Educational Background

Minimum Education:

  • Associate degree or equivalent experience in volunteer coordination, community outreach, human services, or nonprofit operations. Equivalent combination of education and relevant experience considered.
