Core Responsibilities

Primary Functions

  • Assist in daily warehouse and distribution operations by picking, packing, and preparing orders to meet scheduled shipment deadlines while maintaining 99% accuracy in order fulfillment processes.
  • Monitor inbound and outbound shipments, coordinate with carriers, and update shipment tracking information in the ERP/WMS to ensure on-time delivery and proactive exception handling.
  • Maintain accurate inventory counts through cycle counts and physical inventory audits; identify and investigate discrepancies, document root causes, and implement corrective actions.
  • Execute standard operating procedures (SOPs) for receiving, staging, put-away, and returns processing to minimize processing time and reduce damage or loss.
  • Support cross-functional teams (sales, purchasing, customer service) by providing timely operational data, clarifying order status, and escalating critical issues for senior review.
  • Use enterprise systems (SAP, Oracle, NetSuite, or similar) to process purchase orders, sales orders, stock transfers, and inventory adjustments with attention to data integrity.
  • Perform daily KPI tracking and reporting, including order cycle time, on-time shipment rate, inventory accuracy, and picking productivity; prepare summary reports for operations managers.
  • Participate in continuous improvement initiatives such as 5S, Lean events, and Kaizen workshops to streamline workflows, reduce waste, and improve throughput by measurable targets.
  • Conduct quality inspections on received goods, verify packing lists against invoices, and log any shortages, damages, or non-conformances for supplier claims.
  • Assist with demand planning support by gathering historical shipment data, noting trends, and helping to maintain buffer stock for high-turn SKUs to prevent stockouts.
  • Operate material handling equipment (e.g., hand trucks, pallet jacks) safely; when certified, support forklift operations while following company safety policies and OSHA guidelines.
  • Manage returns processing and refurbishment workflows, coordinating with reverse logistics to ensure returned items are inspected, restocked, or dispositioned according to policy.
  • Support order reconciliation, credit memo preparation, and invoice verification with the finance team to resolve billing discrepancies and ensure accurate customer billing.
  • Help document process flows and updates to SOP manuals, training guides, and onboarding materials to ensure consistent execution across shifts and locations.
  • Assist in onboarding and training new associates by demonstrating core operational tasks, system logins, and safety protocols while providing constructive feedback.
  • Respond to customer and internal escalations related to operational delays by researching root causes, providing status updates, and documenting resolution steps.
  • Execute basic data entry and data validation tasks using Excel and Google Sheets, maintaining clean master data and supporting data hygiene efforts across the operations team.
  • Participate in shift handovers by compiling concise status summaries, outstanding actions, and prioritized issues to ensure continuity between teams.
  • Support cycle count reconciliation and inventory shrink investigations by tracing transaction history, interviewing staff, and proposing process controls to mitigate recurrence.
  • Aid in vendor and supplier coordination for expedited shipments or partial deliveries, including preparing documentation for customs or cross-border logistics when applicable.
  • Contribute to seasonal and promotional planning by assisting with capacity modeling, temporary labor planning, and prioritization of high-impact SKUs.
  • Monitor workplace safety compliance, report hazards, participate in incident investigations, and help implement corrective and preventive actions to maintain a safe work environment.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficient in Microsoft Excel: VLOOKUP, pivot tables, data validation, basic formulas and data visualization for KPI reporting.
  • Experience with ERP or WMS systems (examples: SAP, Oracle, NetSuite, Manhattan, Blue Yonder) for order and inventory transactions.
  • Basic SQL knowledge for simple queries and data extraction to support operational reporting.
  • Familiarity with order management and shipping platforms (e.g., ShipStation, FedEx/UPS portals) and shipment documentation practices.
  • Inventory control practices: cycle counting, reconciliation, shrink analysis, and FIFO/LIFO stock rotation.
  • Understanding of logistics concepts: inbound/outbound operations, reverse logistics, cross-docking, and carrier coordination.
  • Basic data entry and data hygiene best practices to maintain accurate master data and SKU records.
  • Experience creating and maintaining SOPs, process maps, and training materials.
