Core Responsibilities
Primary Functions
- Assess, interpret and verify ophthalmic prescriptions (sphere, cylinder, axis, add, prism) to determine appropriate lens designs, materials and coatings that meet visual requirements and lifestyle needs.
- Measure and record accurate pupillary distance (PD), segment heights, and other monocular/binocular metrics using digital and manual measurement tools to ensure optical centers align correctly with patient pupils.
- Guide patients through frame selection considering face shape, prescription limitations, lens thickness, material durability, and fashion preferences while recommending lens treatments to balance performance and cost.
- Perform precise frame adjustments and fittings — including heat molding, pad and temple adjustments, and nose pad shaping — to achieve comfortable, stable, and cosmetically appropriate eyewear fit.
- Verify final lenses against prescription and order specifications through inspection and measurement (lensometer checks, thickness gauges, power verification) and document tolerance deviations for corrective action.
- Edge, mount and glaze lenses using manual and automated edging and blocking equipment to achieve prescribed optical centers, wrap angles and frame geometry while maintaining safety and quality standards.
- Educate patients on proper lens care, break-in periods, frame maintenance, cleaning techniques, and realistic visual expectations for progressive and specialty lenses to enhance compliance and satisfaction.
- Fit, instruct and follow up on contact lens wearers when applicable: perform basic contact lens assessments, teach insertion/removal and aftercare techniques, and escalate clinical concerns to the optometrist when necessary.
- Process and manage eyewear orders from creation to delivery: input prescriptions, check insurance benefits, generate lab tickets, track production timelines and notify patients for pickup or adjustments.
- Handle optical insurance claims and verifications (VSP, EyeMed, Spectera, Davis Vision and regional carriers): submit pre-authorizations, interpret benefits, apply discounts, and explain patient financial responsibility.
- Resolve fit or prescription-related complaints by diagnosing issues, offering appropriate exchanges, remakes or adjustments, and implementing corrective lab or clinic actions to maintain quality KPIs.
- Maintain inventory levels of frames, lenses, contact lens supplies and accessories; perform reorders, returns, vendor follow-ups and seasonal merchandising to maximize conversion and minimize stockouts.
- Collaborate with optometrists and clinical staff to communicate prescription clarifications, special lens requirements (high-index, polycarbonate, AR coatings, photochromic, polarized), and complex patient needs.
- Follow infection control, safety and sanitation protocols for trial frames, contact lens solutions and instruments to ensure patient health and compliance with clinic policies and state regulations.
- Train new staff and cross-train team members on dispensing standards, measurement techniques, point-of-sale workflows and customer service best practices to raise team competency and consistency.
- Use point-of-sale, optical management and lab management software (e.g., RevolutionEHR, CrystalPM, Eyefinity, VisionWeb, MyVisionExpress) to record orders, manage schedules and process payments accurately.
- Track and analyze dispensing metrics such as remakes rate, order turnaround time, average order value, and customer satisfaction scores to recommend process improvements and reach sales/quality targets.
- Participate in onsite lens fabrication quality control: calibrate equipment, maintain tooling and document maintenance logs to prevent reworks and ensure consistent lens quality.
- Advise patients on specialty optical solutions such as occupational lenses, sports eyewear, safety frames, and progressive/transition lens options tailored to individual visual tasks.
- Coordinate with external labs and vendors for special orders, warranty claims, and complex prescriptions to ensure timely fulfillment and resolve technical issues proactively.
- Demonstrate upselling and consultative selling techniques to increase revenue per transaction while prioritizing patient needs, clinical appropriateness and long-term satisfaction.
- Maintain accurate patient records, warranty documentation and order histories in compliance with HIPAA and clinic data policies to support continuity of care and legal requirements.
Secondary Functions
- Support walk-in and scheduled eyewear repairs, including screw replacements, nose pad swaps and minor frame realignments to minimize patient inconvenience.
- Assist with visual merchandising and window displays to highlight promotions, seasonal lines and new frame collections that drive foot traffic and brand positioning.
- Participate in community outreach events, vision screening clinics and in-store promotions to promote service uptake and generate new patient leads.
- Collaborate with purchasing and regional teams to evaluate vendor performance, negotiate pricing and select frames that align with customer demographics and margin objectives.
- Complete daily opening/closing procedures, reconcile cash registers, process refunds/exchanges and maintain accurate transaction logs to support financial controls.
- Maintain clean, organized dispense area and optical lab space; ensure all instruments are calibrated and consumables are stocked for uninterrupted operations.
- Support clinic leadership with ad hoc reporting, scheduling coverage and cross-functional projects such as implementing new EHR or lab integration solutions.
- Provide feedback to product managers and buyers on customer preferences, fit issues and popular styles to inform buying decisions and private-label development.
