Core Responsibilities
Primary Functions
- Manage end-to-end order processing in the Warehouse Management System (WMS) and Order Management System (OMS): pick, pack, stage, label, and ship customer orders with 99%+ accuracy while meeting daily throughput and SLA targets.
- Execute accurate picking strategies (batch, zone, wave) and pick-list optimization to maximize speed and minimize travel time, using RF scanners and barcode technologies.
- Validate and reconcile physical inventory against system records through cycle counts and ad-hoc spot checks; investigate and resolve variances, and document root causes and corrective actions.
- Prepare shipment documentation for domestic and international orders, including bills of lading, commercial invoices, customs declarations, and EDI transaction sets (856/940/945).
- Coordinate with carriers (UPS, FedEx, USPS, DHL, regional LTL) to schedule pickups, negotiate rates when applicable, and manage carrier performance to meet on-time delivery KPIs.
- Perform quality control checks for order conformance β product condition, correct SKU, lot/expiry codes (when applicable), bundle contents, and proper packing to reduce damage and returns.
- Process returns (RMA), inspections, disposition (restock, refurbish, scrap), and update reverse logistics records in WMS/ERP while ensuring timely customer credits or replacements.
- Monitor order exceptions and shipping holds, triage root causes (inventory allocation, pricing, address validation), and apply immediate fixes to avoid SLA breaches.
- Maintain accurate pick-face and bulk storage organization; execute slotting updates and physical reassignments based on velocity and seasonal demand to optimize storage density and throughput.
- Lead daily fulfillment stand-ups and communicate order status, bottlenecks, and capacity constraints to operations management, customer success teams, and supply chain planners.
- Operate warehouse equipment safely and efficiently (pallet jacks, forklifts, conveyors) in compliance with OSHA and company safety policies; perform routine maintenance and report equipment issues.
- Configure and maintain packing standards and materials (box sizes, void-fill, dunnage) to balance cost, weight, and protection for different product categories.
- Execute cycle time analyses and document process flows; recommend and implement process improvements (5S, Kaizen) to reduce touchpoints and labor per order.
- Reconcile daily shipping and invoicing records with finance/AR teams to ensure carrier charges, postage, and freight costs are accurate and coded correctly.
- Support seasonal peaks and promotional events by planning labor, overtime, temporary workforce onboarding, and cross-training to maintain service levels.
- Manage inventory moves, inbound put-aways, and replenishment triggers to prevent stockouts; coordinate with procurement and inbound teams for exception handling on shortages or late receipts.
- Use reporting tools (Excel, BI dashboards) to track KPIs β orders per hour, perfect order rate, on-time shipment rate, return rate, inventory accuracy β and present insights to operations leaders.
- Implement and enforce quality and compliance programs for product handling (temperature control, lot traceability, hazardous materials labeling) when applicable to the product mix.
- Support onboarding and training of new fulfillment associates: standard operating procedures (SOPs), safety training, WMS navigation, and quality expectations.
- Investigate customer escalations related to fulfillment (missing items, incorrect shipments, delays), coordinate resolution with carriers and customer service, and drive corrective actions to prevent recurrence.
- Participate in cross-functional projects such as WMS upgrades, ERP integrations, and e-commerce platform changes; provide testing, user acceptance, and go-live support.
- Maintain accurate bin locations, SKU masters, and cycle count schedules; update item configurations and inventory attributes in ERP/WMS as directed.
Secondary Functions
- Generate ad-hoc operational reports and support business intelligence requests to help product, marketing, and customer success teams understand fulfillment performance and constraints.
- Contribute to continuous improvement initiatives and the fulfillment centerβs operational roadmap, including automation, robotics pilots, and new carrier onboarding.
- Collaborate with procurement and planning teams to translate demand signals into replenishment priorities and receiving schedules.
- Assist IT and systems teams with WMS/OMS troubleshooting, data mapping, and process documentation during system changes or integrations.
- Cross-train across adjacent functions (receiving, returns, quality control) to provide operational flexibility during peak volumes or associate absences.
- Support inventory audits and third-party audit responses by providing transaction histories, cycle count results, and corrective action documentation.

Required Skills & Competencies
Hard Skills (Technical)
- Proficient with Warehouse Management Systems (WMS) such as Manhattan, Oracle WMS, NetSuite, Fishbowl, or SAP EWM; experience performing transactions, cycle counts, and exception processing.
- Experience using Order Management Systems (OMS), ERP systems (NetSuite, SAP, Oracle) and integrating fulfillment workflows between systems.

- Forklift certification and safe equipment operation history (if applicable to the facility).
- Knowledge of regulatory and compliance requirements relevant to products (OSHA, DOT, IATA for air, hazmat handling if required).
