Core Responsibilities
Primary Functions
- Plan, coordinate, and execute events, meetings, workshops, and programs end-to-end, including concept development, timeline creation, resource allocation, and post-event follow-up to meet attendance, satisfaction, and revenue goals.
- Develop detailed project plans with milestones, deliverables, and contingency strategies, ensuring all cross-functional stakeholders (marketing, finance, facilities, AV) are aligned and informed throughout the lifecycle of an event or program.
- Create and manage event budgets, track expenses against forecasts, negotiate contracts with vendors and suppliers, and deliver events within or below budget while maintaining quality and client expectations.
- Source, evaluate, and manage vendor relationships (caterers, AV, decorators, rental companies, security, transportation) including contracts, scope of work, SLAs, and performance metrics to ensure reliable service delivery.
- Manage venue selection and logistics: site sourcing, floorplans, seating charts, accessibility compliance, permits, insurance, load-in/load-out schedules, and on-site coordination to ensure safety, compliance, and operational efficiency.
- Oversee registration and ticketing operations, including platform selection/configuration, attendee communication, on-site check-in processes, badge printing, and real-time reporting to maximize conversion and reduce friction.
- Lead on-site event operations, supervising staff, volunteers, and vendors during setup, event delivery, and breakdown; act as the primary point of contact for escalations and real-time problem solving.
- Design attendee experience strategies including signage, wayfinding, hospitality, networking sessions, and post-event engagement plans to increase satisfaction, retention, and referral rates.
- Prepare and distribute comprehensive event documentation such as run-of-show, staff call sheets, vendor schedules, emergency plans, and contact lists; ensure all stakeholders have up-to-date materials.
- Build and maintain program calendars and master timelines to avoid scheduling conflicts, optimize resource utilization, and support multi-event production workflows.
- Implement and enforce health, safety, and accessibility standards at all events, coordinating with facilities and local authorities to secure necessary permits, insurance, and compliance documentation.

- Manage sponsorship relationships and deliver sponsor packages, ensuring contracted benefits are fulfilled, on-site visibility is executed correctly, and post-event reporting demonstrates value.
- Recruit, train, and coordinate volunteers and temporary staff including role definitions, shift scheduling, training materials, and recognition programs to maintain high service levels.
- Facilitate contract negotiation and procurement processes including quotes, purchase orders, and vendor onboarding while ensuring compliance with organizational procurement policies.
- Maintain inventory of event assets (signage, AV equipment, tabletop materials) and manage storage, maintenance, and replenishment to control costs and support rapid deployment.
- Lead risk assessments and contingency planning, developing mitigation strategies and communication plans for weather, AV failure, vendor no-shows, and other operational disruptions.
- Coordinate travel and lodging logistics for speakers, VIPs, and remote team members, including itineraries, transport arrangements, hospitality, and special requests to ensure seamless guest experiences.
- Conduct stakeholder briefings and debriefs with executive sponsors, clients, and internal teams to align objectives, set expectations, and capture lessons learned and improvements.
- Maintain accurate records and documentation for each event, including contracts, invoices, receipts, attendee lists, and compliance documents to support audits and financial reconciliation.
- Use CRM and event management platforms to segment attendees, manage communications, and analyze behavioral data to tailor experiences and improve targeting for future programs.
- Implement sustainability and waste-reduction practices across events, working with vendors and venues to reduce environmental impact and communicate green initiatives to stakeholders.

Educational Background
Minimum Education:
