Core Responsibilities

Primary Functions

  • Draft, proofread, and format a wide range of legal documents, including pleadings, motions, discovery requests and responses, subpoenas, and correspondence.
  • Manage and organize complex case files, including the maintenance, indexing, and categorization of documents in both physical and electronic formats.
  • Conduct thorough legal and factual research using online databases such as Westlaw, LexisNexis, and other internet resources to support case arguments.
  • Assist attorneys with all phases of the litigation lifecycle, from initial case investigation and intake through discovery, pre-trial, trial, and appeal.
  • Prepare, organize, and label trial exhibits, develop trial notebooks, and manage witness files for depositions, hearings, and court proceedings.
  • Coordinate and manage the electronic discovery (e-discovery) process, including document collection, review for relevance and privilege, and production.
  • Maintain and manage attorney calendars by scheduling depositions, hearings, mediations, client appointments, and other critical deadlines.
  • Docket all case-related deadlines, court orders, and events using case management software, ensuring strict compliance with court rules and procedures.
  • Serve as a professional point of contact, communicating effectively with clients, opposing counsel, court personnel, vendors, and expert witnesses.
  • Assist in the preparation for and attendance at depositions, including summarizing transcripts and identifying key testimony.
  • Analyze and summarize voluminous documents, including deposition transcripts, medical records, financial statements, and other case-related materials.
  • Accurately track and record billable hours in the firm's timekeeping and billing software, ensuring detailed entries and timely submission.
  • Prepare and execute the filing of legal documents with state and federal courts, with a strong proficiency in electronic filing systems (e.g., ECF/Pacer).
  • Assist in the preparation and finalization of corporate transactional documents, such as articles of incorporation, bylaws, and board meeting minutes.
  • Support real estate transactions by preparing closing binders, drafting settlement statements, and coordinating logistics with all involved parties.

Secondary Functions

  • Provide high-level administrative support to attorneys, including managing expense reports, coordinating travel arrangements, and transcribing dictation.
  • Maintain and update the firm's central database of case information, key contacts, and important documents for easy retrieval and reference.
  • Assist with the new client intake process, which includes performing conflict of interest checks and opening new matters in the firm’s system.
  • Coordinate with external vendors for services such as court reporting, process serving, document copying, and trial support.

  • Participate actively in team meetings to review case status, discuss strategic planning, and help balance workloads among support staff.
  • Support the preparation of responses to third-party subpoenas, audit letter requests, and other compliance-related inquiries.

Required Skills & Competencies

Hard Skills (Technical)

  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Extensive experience with legal case management software (e.g., Clio, MyCase, ProLaw, Aderant).
  • Familiarity with e-discovery platforms and document review tools (e.g., Relativity, Concordance, Summation).
  • Skilled in conducting legal research using databases like Westlaw and LexisNexis.
  • Proven experience with state and federal electronic court filing (ECF/Pacer) systems.
  • Expertise in using document management systems such as iManage, NetDocuments, or SharePoint.
  • Knowledge of timekeeping and billing software used in legal environments.

Education & Experience

Educational Background

Minimum Education:

  • Associate's Degree or a Paralegal Certificate from an ABA-approved program.
