Core Responsibilities
Primary Functions
- Meticulously docket all incoming and outgoing communications, including deadlines from the U.S. Patent and Trademark Office (USPTO) and foreign patent offices.
- Prepare and file U.S., PCT, and foreign patent applications, ensuring all formal requirements and submission guidelines are met.
- Electronically file documents and correspondence through various e-filing systems, primarily the USPTO's EFS-Web and PAIR systems.
- Manage and maintain the integrity of the patent docketing system (e.g., Anaqua, FoundationIP, CPI), ensuring all case data is accurate and up-to-date.
- Prepare and file Information Disclosure Statements (IDS), including gathering and cross-citing prior art references across related patent families.
- Draft routine correspondence and reporting letters to clients, foreign associates, and inventors regarding the status of patent applications.
- Monitor and process incoming communications from patent offices, attorneys, and clients, flagging urgent matters and docketing relevant dates.
- Assist attorneys and paralegals in preparing responses to office actions and other official communications.
- Coordinate the execution of formal documents such as declarations, assignments of ownership, and powers of attorney.
- Handle the payment of patent annuities and maintenance fees to various patent offices to ensure patents remain in force.
- Maintain and organize electronic and physical case files, ensuring all documents are correctly profiled and easily accessible.
- Generate and review docket reports to monitor deadlines, provide status updates to attorneys, and assist with workload management.
- Prepare and file post-allowance documents, including payment of issue fees, submission of formal drawings, and filing of continuation applications.
- Assist in the intake of new client matters and the transfer-in/transfer-out of patent portfolios, ensuring a smooth transition of records.
- Conduct status checks and retrieve patent and application data from the websites of the USPTO and other international patent offices.
- Coordinate with vendors for services such as translations of documents for foreign filings or the preparation of formal patent drawings.
- Assist in reviewing and processing invoices from foreign associates and other service providers.
- Prepare shell documents and templates for various patent prosecution filings to improve team efficiency.
- Track and manage the chain of title for patent assets, including preparing and recording assignment documents.
- Support patent litigation efforts by retrieving file histories, prior art, and other necessary documentation.
Secondary Functions

- Help maintain the firm's central database of client and matter information.
- Provide general administrative support to the IP team, such as scheduling meetings and handling expense reports.

Required Skills & Competencies
Hard Skills (Technical)
- Proficiency with IP docketing software such as Anaqua, FoundationIP, CPI, or PATTSY.
- Experience with electronic filing systems, particularly USPTO's EFS-Web and Private PAIR.
- Strong knowledge of U.S. patent prosecution rules, procedures, and timelines.
- Familiarity with international patent filing procedures, including PCT and national phase entry.
- High proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
