Core Responsibilities
Primary Functions
- Process end-to-end payroll for a diverse employee population (hourly, salaried, contract) on a bi-weekly or semi-monthly schedule, ensuring every payment is accurate and on time.
- Collect, compile, and meticulously verify payroll data such as employee hours worked, sales commissions, bonuses, and paid time off from timekeeping systems and departmental reports.

- Calculate and process payroll adjustments, including retroactive pay, prorated salaries for new hires and terminations, and special one-time payments.

- Ensure accurate calculation and withholding of federal, state, and local taxes, as well as pre-tax and post-tax benefit deductions like 401(k), medical, and dental insurance.
- Set up new hires in the payroll system, ensuring all personal information, tax withholding forms (W-4), and direct deposit details are entered correctly and promptly.
- Process employee terminations, calculating and issuing final paychecks in compliance with state-specific final pay laws and company policy.
- Serve as the primary point of contact for all employee payroll-related inquiries, responding to questions about paychecks, deductions, and tax forms in a professional and timely manner.
- Conduct regular audits and reconciliations of payroll data before, during, and after each processing cycle to identify and correct any potential errors.
- Prepare and generate a variety of standard and ad-hoc payroll reports for management, finance, and HR departments, including summaries of earnings, taxes, deductions, and labor costs.
- Maintain and update the payroll system with employee changes, such as salary increases, departmental transfers, and changes in personal information or tax status.
- Assist in the administration and reconciliation of employee benefits programs as they relate to payroll, including retirement plan contributions and health insurance premiums.
- Ensure strict compliance with all federal, state, and local payroll laws and regulations, including the Fair Labor Standards Act (FLSA), and maintain up-to-date knowledge of changes in legislation.
- Support the year-end payroll process, including the reconciliation of payroll data and the preparation and distribution of employee W-2 forms.
- Collaborate closely with the Human Resources team to ensure seamless data flow and consistency between HRIS and payroll systems.
- Maintain highly confidential payroll files and records in an organized and secure manner, adhering to company data privacy and retention policies.
- Assist with the registration for new state and local tax jurisdictions as the company expands its remote workforce or physical locations.
- Participate in the testing and implementation of new payroll system features, updates, or conversions to improve efficiency and accuracy.
- Reconcile payroll-related general ledger accounts in collaboration with the accounting department to ensure financial data integrity.
- Investigate and resolve payroll discrepancies or employee issues by analyzing historical data and system records to determine the root cause and implement corrective action.
- Document payroll processes and procedures to ensure consistency, create training materials for backup personnel, and support internal and external audit requirements.

Required Skills & Competencies
Hard Skills (Technical)

- Advanced skills in Microsoft Excel, including VLOOKUPs, pivot tables, and complex formula creation for data analysis and reconciliation.
