Core Responsibilities
Primary Functions
- Manage and execute the end-to-end payroll processing for all employees across bi-weekly, semi-monthly, or monthly pay cycles, ensuring absolute accuracy and timeliness.
- Meticulously review and verify all payroll-related data before processing, including timesheets, overtime calculations, commissions, bonuses, and other variable pay components.
- Maintain the integrity of the payroll system by accurately entering and updating employee information, including new hires, terminations, promotions, salary changes, and tax withholding status.
- Administer and process all employee deductions, such as health insurance premiums, retirement plan contributions (401k/RRSP), and court-ordered wage garnishments, ensuring full compliance with legal mandates.
- Guarantee strict adherence to all federal, state, and local payroll regulations, wage and hour laws (like FLSA), and tax requirements to mitigate compliance risks.
- Conduct thorough reconciliations of payroll prior to transmission and after processing, promptly identifying and resolving any discrepancies to ensure financial accuracy.
- Prepare, generate, and distribute a variety of standard and ad-hoc payroll reports for management, finance, and HR, detailing earnings, taxes, deductions, and leave balances.
- Act as the primary, knowledgeable point of contact for all employee inquiries regarding pay, deductions, and tax forms, providing clear, courteous, and timely resolutions.
- Ensure the timely and compliant processing of final pay for terminating employees in accordance with specific state laws and company policies.
- Collaborate closely with the Human Resources team to ensure seamless data flow and consistency between the HRIS and payroll systems for all employee lifecycle events.
- Lead and manage all year-end payroll activities, including the reconciliation of payroll data and the accurate, timely distribution of W-2 and other tax forms.
- Assist in the preparation and data collection for internal and external audits, including 401(k), workers' compensation, and government agency reviews.
- Proactively stay informed about changes in payroll laws and regulations, advising management on potential impacts and implementing necessary procedural updates.
- Accurately calculate and process special payments, including retroactive pay adjustments, off-cycle payments, and severance, while maintaining proper documentation and approvals.
- Administer and track employee leave balances, including PTO, sick time, and other leaves of absence, ensuring accruals and usage are recorded correctly.
- Issue manual checks as necessary for immediate payment needs or corrections, maintaining a detailed and auditable log for reconciliation.
- Work alongside the accounting department to reconcile payroll-related general ledger accounts, prepare journal entries, and resolve any posting errors.
- Continuously identify opportunities to improve payroll processes, recommending and helping to implement solutions that increase efficiency, accuracy, and scalability.
- Develop and maintain comprehensive, up-to-date documentation for all payroll procedures to ensure operational consistency and support cross-training efforts.
- Handle all employee data and payroll information with the highest level of confidentiality and discretion, safeguarding sensitive information at all times.
