Core Responsibilities
Primary Functions
- Serve as the primary point of contact for patients, greeting them in a warm and professional manner both in-person and over the phone.
- Accurately receive and process new and refill prescription requests from patients, caregivers, and medical offices, ensuring all necessary information is obtained.
- Operate the point-of-sale (POS) system to handle transactions for prescriptions and over-the-counter products, including cash, credit/debit, and other forms of payment.
- Verify patient information, including name, date of birth, and address, at the point of sale to ensure prescriptions are dispensed to the correct individual.
- Assist patients in locating over-the-counter (OTC) medications and other pharmacy products, providing information on product location and availability.
- Manage incoming and outgoing phone calls, directing inquiries to the appropriate Pharmacist or Pharmacy Technician when clinical judgment is required.
- Meticulously file physical and electronic prescription records in compliance with pharmacy procedures and legal requirements like HIPAA.
- Maintain a clean, organized, and welcoming front-of-store and checkout area to ensure a positive and professional patient experience.
- Assist patients with basic questions regarding their insurance coverage, co-pays, and the prescription filling process.
- Prepare and package prescriptions for patient pickup, verifying that the name and number of prescriptions match the patient's expectations.
- Schedule prescription deliveries and coordinate with courier services to ensure timely and accurate delivery to patients' homes or facilities.
- Process and manage returns for over-the-counter items according to store policy, ensuring proper documentation and inventory adjustment.
- Effectively triage patient and provider inquiries, escalating urgent or clinical questions to the Pharmacist on duty immediately.
- Obtain patient signatures for prescription pickups and privacy policy acknowledgments, ensuring all legal and procedural documentation is complete.
Secondary Functions
- Assist with daily inventory management tasks, including checking in new drug orders from wholesalers and stocking shelves with medications and supplies.
- Monitor inventory levels of pharmacy supplies, such as vials, caps, labels, and bags, and report replenishment needs to the appropriate personnel.
- Perform routine checks for expired over-the-counter products and prescription medications in the waiting-for-pickup area, following procedures for their removal and disposal.
- Maintain and organize the will-call (prescription pickup) area, returning prescriptions to stock that have not been picked up within the designated timeframe.
- Support the pharmacy team in preparing for physical inventory counts by organizing stock and preparing count sheets.
- Generate and review daily operational reports, such as sales summaries or end-of-day reconciliation reports, for accuracy.
- Handle administrative duties such as sorting mail, faxing documents to physician's offices, and ensuring office supplies are readily available.
- Collaborate with the pharmacy team to maintain a clean and safe work environment in compliance with OSHA and company standards.
