Core Responsibilities
Primary Functions
- Customer Sales and Service: Perform a wide range of sales and customer service tasks at a public-facing window, including the sale of postage, stamps, and specialized postal products. Provide customers with comprehensive information on postal services, rates, delivery standards, and mailing regulations.
- Mail and Package Processing: Accurately weigh mail and parcels, calculate and apply correct postage, and process customer payments via cash, credit, or debit. Handle and process all classes of mail such as Express, Priority, Registered, Certified, and Insured mail, ensuring all special handling protocols are strictly followed.
- Financial Accountability: Conduct daily financial reconciliations of your assigned cash drawer and credit card transactions. Prepare and complete detailed end-of-day financial reports, ensuring all funds, money orders, and postal products are meticulously accounted for.
- Mail Sorting and Distribution: Sort and distribute incoming mail for carrier routes, organizing it into the proper delivery sequence. Also responsible for sorting and routing mail for Post Office Box holders, ensuring timely and accurate placement.
- P.O. Box Management: Manage the rental of Post Office boxes, maintain accurate box holder records, collect payments, and ensure mail is properly distributed to the correct boxes each day.
- Dispatch and Transportation: Receive, scan, and prepare outgoing mail sacks, trays, and containers for dispatch to designated distribution centers. Load and unload mail from trucks and other transport vehicles, sometimes utilizing material handling equipment.
- Passport Application Acceptance: Serve as an authorized agent to accept and review passport applications on behalf of the U.S. Department of State, which includes verifying applicant identity, checking documents for accuracy, and capturing photos.
- Money Order Processing: Process and issue both domestic and international money orders, adhering to all federal financial regulations and anti-money laundering protocols.
- Customer Issue Resolution: Act as the first point of contact for resolving customer issues regarding lost, delayed, or damaged mail. Initiate tracking requests, file claims, and provide clear, empathetic follow-up communication.
- Regulatory Compliance: Maintain a current and comprehensive knowledge of all postal regulations, including international customs requirements, to ensure both the customer and the postal service are in full compliance.
- Change of Address (COA) Processing: Process customer change-of-address forms, accurately update national databases, and ensure mail is correctly forwarded to new locations as requested.
