Primary Functions
- Operate high-speed mail processing equipment, including postage meters, mail inserters, and folder/sealers, ensuring proper functionality and performing routine maintenance.

- Utilize shipping software (e.g., Pitney Bowes SendSuite, FedEx Ship Manager, UPS WorldShip) to create shipping labels, track packages, and generate end-of-day reports.
- Maintain an accurate and up-to-date log of all incoming and outgoing accountable items, such as certified mail and packages, using digital tracking systems or manual logs.
- Conduct regular mail runs throughout the facility at scheduled times, collecting outgoing mail and delivering incoming items directly to department mailstops or individual recipients.
- Serve as the primary liaison with postal service representatives and private carrier account managers to resolve delivery issues, order supplies, and stay informed of service changes.
- Handle sensitive and confidential documents with the utmost discretion and security, following established protocols for secure mail handling.
- Monitor and manage inventory levels of all mailroom supplies, including envelopes, boxes, postage, and shipping materials, and process purchase orders for replenishment.
- Receive and process large or bulk shipments, verifying contents against packing slips, noting any discrepancies or damages, and coordinating delivery to the appropriate department.
- Provide exceptional customer service to internal staff, answering inquiries regarding shipping options, tracking information, postal rates, and mail policies.
- Ensure the mailroom and package processing areas are kept clean, organized, and safe, adhering to all company safety standards and procedures.
- Assist in updating and maintaining the internal employee directory and mailstop database to ensure accurate mail distribution following personnel changes and office moves.
- Prepare and process bulk mailings for marketing or communication departments, ensuring compliance with USPS bulk mail regulations for discounted rates.
- Re-route misdirected mail and research "undeliverable" mail to find the correct recipient or return it to the sender.
- Operate company vehicles to transport mail between different company sites, the post office, or other designated drop-off points.
- Manage incoming faxes and scans, digitally distributing them to the appropriate recipients via email or network folders.
- Coordinate with building security and reception to manage courier drop-offs and pick-ups, ensuring a secure chain of custody for all items.
- Generate and analyze periodic reports on postage costs, shipping volumes, and carrier performance to identify opportunities for cost savings and process improvements.
- Train new team members or backup personnel on mailroom procedures, equipment operation, and safety protocols.
