Core Responsibilities

Primary Functions

  • Oversee the complete operational and administrative functions of the practice to ensure maximum efficiency and the consistent delivery of high-quality patient care.
  • Develop, monitor, and manage the annual operational and capital budgets, ensuring adherence to financial targets and providing regular P&L variance reports to physicians and owners.
  • Directly supervise, train, and mentor all non-clinical staff, including front desk, medical assistants, and administrative personnel, fostering a positive, engaging, and productive work environment.
  • Manage all aspects of the human resources lifecycle, including recruiting, hiring, onboarding, performance evaluations, disciplinary actions, and terminations, in full compliance with labor laws.
  • Champion and continuously improve the patient experience, addressing patient concerns and grievances promptly and professionally to ensure high levels of satisfaction and retention.
  • Direct the entire revenue cycle management (RCM) process, including patient registration, insurance verification, coding accuracy, claims submission, and collections, to optimize cash flow and minimize denials.
  • Ensure the practice maintains strict compliance with all relevant healthcare regulations, including HIPAA, OSHA, and other state and federal guidelines, by conducting regular audits and staff training.
  • Strategically manage provider schedules and patient appointment templates to maximize provider productivity and patient access to care, making data-driven adjustments as needed.
  • Negotiate and manage contracts with payers, vendors, and service providers to secure favorable terms, control operational costs, and maintain strong business partnerships.
  • Drive the implementation and optimization of the Practice Management (PM) and Electronic Health Record (EHR/EMR) systems, ensuring staff proficiency and data integrity.
  • Develop and execute strategic business plans to support practice growth, including service line expansion, marketing initiatives, and physician recruitment strategies.
  • Manage the physical facility, including overseeing maintenance, housekeeping, security, and space planning to ensure a safe, clean, and welcoming environment for patients and staff.
  • Analyze key performance indicators (KPIs) and operational metrics (e.g., patient volume, wait times, collection rates) to identify trends, pinpoint areas for improvement, and present data-driven recommendations to leadership.
  • Lead regular, productive staff meetings to disseminate critical information, facilitate cross-departmental communication, and promote a collaborative team culture.
  • Manage the procurement and inventory of all clinical and office supplies, ensuring cost-effectiveness and availability of necessary materials through effective vendor management.
  • Serve as the primary liaison between clinical providers and administrative staff, facilitating clear communication, resolving operational conflicts, and ensuring cohesive teamwork.
  • Develop, implement, and regularly update office policies and procedures to standardize workflows and ensure consistent operational excellence across the board.
  • Oversee the credentialing and re-credentialing processes for all clinical providers with insurance companies and affiliated healthcare facilities, ensuring uninterrupted service.
  • Collaborate with the billing department or third-party billing company to resolve complex claims issues and denials, ensuring timely and accurate reimbursement.
  • Lead change management initiatives, effectively communicating changes and providing robust support to staff to ensure smooth transitions and adoption of new processes or technologies.
  • Implement and manage a comprehensive risk management program to proactively mitigate potential liabilities and ensure the safety of patients and employees.
  • Develop and oversee local marketing and community outreach strategies to enhance the practice's visibility, strengthen its brand, and attract new patients.

Secondary Functions

  • Represent the practice at professional meetings, industry conferences, and community events to build networks and stay current on industry trends.
  • Assist in the development and execution of marketing campaigns, including digital marketing, social media presence, and referral network building.
  • Coordinate and lead special projects as assigned by ownership, such as facility renovations, technology upgrades, or accreditation preparations.

Educational Background

Minimum Education:
