Core Responsibilities
Primary Functions
- Manage the end-to-end print production process for a wide range of marketing collateral, including brochures, direct mail, event signage, corporate stationery, and promotional items.
- Collaborate closely with internal stakeholders, such as marketing, communications, and design teams, to fully understand project requirements, specifications, timelines, and budget constraints.
- Source, evaluate, and build strong relationships with a network of external print vendors, printers, and finishing houses.
- Prepare detailed print specifications and request for quotations (RFQs), meticulously analyzing and comparing bids to ensure optimal value and quality.
- Lead negotiations with suppliers on pricing, delivery schedules, and service level agreements to secure the most favorable terms for the organization.
- Conduct thorough pre-press checks on all artwork and design files, verifying resolution, color profiles (CMYK, Pantone), bleed, and other technical aspects to ensure print-readiness.
- Coordinate and manage complex print project schedules, proactively tracking progress from proofing to production to final delivery to guarantee all deadlines are met.
- Perform rigorous quality control inspections at various stages, including attending press checks (on-site or virtual) and reviewing digital and physical proofs for color accuracy, print quality, and brand consistency.
- Oversee the logistics and distribution of printed materials, coordinating with mail houses, courier services, and internal departments for timely and accurate dissemination.
- Manage and maintain a comprehensive inventory of all corporate printed materials, forecasting future needs and coordinating re-orders to prevent stockouts.
- Maintain a detailed and organized archive of all print projects, including final specifications, cost breakdowns, vendor performance notes, and physical samples for future reference and consistency.
- Troubleshoot and resolve any issues that arise during the production process, such as press errors, shipping delays, or quality discrepancies, with a solutions-oriented approach.
- Provide expert advice to internal teams on material selection, finishing options, and sustainable printing practices to enhance project outcomes and support corporate responsibility goals.
- Process and track all print-related purchase orders and invoices, ensuring accurate financial reconciliation and reporting against project budgets.
- Develop and maintain comprehensive documentation for print standards, vendor guidelines, and production workflows to streamline processes.
- Stay informed about the latest advancements in print technology, substrates, and industry best practices, and recommend innovative solutions to improve efficiency and impact.
- Ensure all printed materials strictly adhere to corporate brand guidelines, maintaining consistency in color, typography, and logo usage across all outputs.
- Manage the procurement of specialized promotional products, applying the same rigor in sourcing, quality control, and budget management as with traditional print.
- Coordinate with international vendors for overseas printing and shipping, navigating customs, and ensuring global brand consistency.
- Generate regular reports on print spend, project status, and vendor performance for senior management review.
