Core Responsibilities

Primary Functions

  • Develop and meticulously manage comprehensive production schedules, calendars, and project timelines, ensuring all milestones are tracked and met.
  • Prepare, distribute, and diligently update daily call sheets, ensuring all cast, crew, and personnel have accurate information regarding schedules, locations, and contacts.
  • Act as the central communication hub for the production team, effectively liaising between departments, external vendors, clients, and talent to ensure a seamless flow of information.
  • Spearhead the coordination of all production logistics, including booking crew travel, arranging accommodations, securing equipment rentals, and managing the shipping and receiving of assets.
  • Meticulously track all production expenditures, process invoices and purchase orders, and assist the Production Manager in maintaining the project budget and generating regular expense reports.
  • Handle the preparation, distribution, and organization of essential production paperwork, including contracts, release forms, permits, insurance certificates, and non-disclosure agreements.
  • Oversee the day-to-day operations of the production office, ensuring it is well-stocked with supplies, organized, and functions efficiently as the command center for the project.
  • Support the sourcing, interviewing, and onboarding of freelance crew members and production staff, ensuring they have the necessary resources to begin work.
  • Facilitate the smooth transition from production to post-production by coordinating the delivery of media and assets, managing schedules for editors, and tracking progress through to final delivery.
  • Attend key production meetings, accurately document meeting minutes, and distribute action items to relevant stakeholders to ensure alignment and accountability.
  • Manage and reconcile the production's petty cash and purchase card expenses, ensuring all transactions are documented and align with established budget policies.
  • Proactively anticipate the needs of the cast, crew, and production leadership to resolve potential issues before they arise, fostering a positive and efficient work environment.
  • Compile and maintain the comprehensive production "bible" or wrap book, archiving all key documents, schedules, contacts, and reports for post-project analysis and future reference.
  • Work with safety officers and department heads to communicate and help enforce compliance with all health, safety, and union regulations on set.
  • Build and maintain strong, positive relationships with key vendors and suppliers, assisting with negotiating rates and ensuring the timely delivery of goods and services.
  • Serve as a first point of contact for troubleshooting and resolving day-to-day logistical and operational issues that arise on set or in the production office.

Secondary Functions

  • Provide general administrative and logistical support to senior production staff and various departments (e.g., Art, Wardrobe, Camera) as needed.
  • Contribute to the continuous improvement of production workflows and standard operating procedures by providing feedback and suggesting efficiencies.
  • Assist in scouting, securing, and permitting for filming locations, serving as a point of contact for location owners and managers.
  • Participate in pre-production planning and brainstorming sessions, offering logistical insights to the creative and management teams.

  • Budget & Expense Tracking: Strong command of spreadsheet software (Microsoft Excel, Google Sheets) for tracking costs, processing purchase orders, and managing petty cash.
  • Scheduling Software: Experience with industry-standard scheduling software (e.g., Movie Magic Scheduling) and calendar management tools (Google Calendar, Outlook).
  • Production Workflow Knowledge: A solid understanding of the entire production lifecycle, from pre-production and development through principal photography and post-production.
  • Office & Cloud Suites: Fluency in Microsoft Office Suite and/or Google Workspace for creating documents, presentations, and maintaining organized digital files.

Educational Background

Experience Requirements
